We are looking for an Administrative Coordinator & Manager’s Assistant who will play a dual role managing front desk responsibilities while also supporting the Office manager with day-to-day coordination.

Position Overview

The Administrative Coordinator & Manager’s Assistant will serve as a key support partner to the Office manager while also handling all front desk operations and patient flow. This individual will act as the first point of contact for patients while assisting with internal coordination to maintain organization across the clinic. This role supports daily operations by managing scheduling, facilitating communication, and assisting with tasks delegated by the manager, including tracking supplies, monitoring deliveries, and maintaining accurate internal records.

Responsibilities

Front Desk & Patient Experience
  • Greet and check in patients
  • Manage scheduling and appointment flow
  • Answer phones, texts, and general inquiries
  • Support smooth day-to-day front desk operations
  • Assist with tasks and responsibilities delegated by the manager
  • Track inventory including vials, peptides, and supplies
  • Monitor deliveries and maintain logs
  • Help maintain organized internal records
  • Support coordination of day-to-day clinic needs
Organizational Support
  • Ensure supplies and product movement are tracked accurately
  • Assist in maintaining up-to-date inventory records
  • Support workflow organization across the clinic
