A rapidly growing biotechnology company is looking to add an Office & Culture Coordinator to their growing administrative team! The ideal candidate is a friendly, outgoing, detail-oriented, and energetic individual with prior administrative experience. The Office & Culture Coordinator will provide support to the entire office as well as the functional areas of the HR department. The Assistant will ensure high quality and timely execution of transactional and administrative HR processes.

This role will serve as the company’s 'first point of contact' and will therefore be required to be in office five days/week.

Responsibilities include:
  • Make an outstanding impression to visitors and employees responding to various requests.
  • Ensure that meeting rooms and public spaces are highly presentable.
  • Ensure timely setup of conference rooms, employee café , etc. for employees and visitors.
  • Assist with onboarding and off-boarding of employees
  • Answer incoming calls, respond to questions and forward calls as appropriate.
  • Event planning for both external and internal office events, including lunch daily (scheduling conference rooms, ordering meals, etc.).
  • Maintain adequate office supplies inventory, place re-stocking orders as needed.
  • Manage incoming and outgoing mail, parcels, and deliveries.
  • Maintain effective relationships with suppliers (office supplies, facilities and maintenance).
  • Liaise with facilities management to request and coordinate basic maintenance functions, etc.
  • Performs miscellaneous office administrative duties such as light calendar management, expense report processing, etc. as requested.
Qualifications:
  • Bachelors or Associate’s degree; or appropriate level of experience can be substituted for educational requirements.
  • Minimum of 2 years experience performing reception or administrative assistant responsibilities.
  • Ability to maintain professionalism and a cooperative approach with a sense of urgency and a “Team Player” attitude.
  • Must possess excellent organization, time management and follow-through skills.
  • Intermediate computer skills, including MS Outlook, Word, and Excel, and Internet expertise for managing shipments, placing orders, etc.
  • Ability to think and be proactive and independent in daily activities.
