Vaco has partnered with our client to hire a Investment Support Associate to join its team. This is a hybrid position in Boston, MA.
Responsibilities- Provide high-quality administrative and client service support to multiple professional teams in a fast-paced environment
- Partner closely with teammates across groups to ensure seamless coverage, workflow continuity, and timely completion of priorities
- Manage and monitor multiple shared inboxes, shifting focus as needed to balance volume and coverage
- Screen, route, and respond to incoming communications, including phone calls, emails, and meeting requests
- Coordinate complex, multi-party scheduling across numerous calendars, including internal meetings, external calls, conferences, and industry events
- Plan and manage detailed domestic and international travel arrangements from initial request through completion, including expense report processing
- Maintain and update internal databases, contact lists, filing systems, and shared resources
- Track, organize, and distribute financial reports, earnings releases, news alerts, and other time-sensitive materials
- Gather, review, and circulate relevant company, market, and industry research using various tools and platforms
- Support invoice processing by coordinating between finance partners and investment or analytical teams
- Draft professional correspondence and documentation on behalf of team members, as requested
- Maintain, reconcile, and improve administrative processes related to contact management, invoicing, document handling, and file sharing
- Proactively identify opportunities to improve efficiency, consistency, and best practices across shared workflows
- Provide backup coverage to other administrative teams and assist with ad hoc projects as needed
- Bachelor’s degree or equivalent experience, with 4+ years in a high-volume administrative or operational support role
- Experience in financial services, investments, or real estate is a plus, but not required
- Strong reputation for integrity, reliability, and consistently high-quality work
- Demonstrated ability to train, mentor, and share knowledge with colleagues
- Comfortable navigating ambiguity and adapting to shifting priorities with a positive, flexible mindset
- Excellent organizational, problem-solving, and time-management skills
- Proven ability to manage multiple tasks, prioritize effectively, and meet tight deadlines
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Clear, professional written and verbal communication skills with strong attention to grammar and detail
- Ability to work independently while contributing effectively within a collaborative team structure
- Experience supporting senior-level professionals or large teams strongly preferred
- Exceptional attention to detail, accuracy, and follow-through
- Willingness to maintain flexibility in work hours to support team coverage when needed
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
