THE ROLE
We are looking for a highly organized, proactive, and resourceful Executive Assistant to the President to support multiple growing businesses, primarily focused in the financial services industry. This flexible hybrid role is based in the Portsmouth, NH or Gloucester, MA area.
In this role, you will provide high‑level support by managing the President’s calendar, meetings, travel, and communications, ensuring they are prepared for upcoming commitments. You will triage emails, organize tasks and priorities, and streamline workflows while maintaining strict confidentiality. You will also oversee office operations as needed, maintain a client‑ready environment, handle calls and mail, and support team meeting logistics. This role is ideal for someone who anticipates needs, creates order, and ensures seamless execution across a wide range of responsibilities.
Areasof Responsibility:
- Coordinate and manage the President’s appointments, meetings, travel, and events.
- Monitor and prioritize the President’s emails, respond to urgent messages, andmaintainstrict confidentiality.
- Manage the President’s workload by creating tasks, organizing priorities, and delegating or reassigning items as appropriate.
- Support scheduling and coordination for team and client meetings, conferences, and travel arrangements.
- Maintain a client-ready office environment, manage supplies, handle incoming/outgoing mail, and answer phone calls professionally.
- Draft, edit, and proofread reports, memos, presentations, and conduct research as needed.
- Provide administrative support to the team andassistwith special projects and cross-functional initiatives.
- Organize team-building activities, internal events, and speaking engagements.
- Assist with marketing tasks such as email campaigns, website updates, and tracking marketing metrics.
- Process expenses, manage invoices, andassistwith compliance and documentation tasks as directed.
- Maintainaccurateand up-to-date client information in the CRM and other systems.
- 3+ years of experience as an Executive Assistant, Office Manager, or similar support role
- Experience supporting an entrepreneur, executive, or owner of multiple businesses
- Exceptional organizational, time management, and prioritization skills
- Strong written and verbal communication skills
- High degree of professionalism, discretion, and confidentiality
- Demonstrated ability to manage multiple competing priorities
- Strong technologyproficiency(Microsoft 365, Google Workspace, CRM systems)
- Reliable transportation for occasional on-site support in Portsmouth, NH or Gloucester, MA
- Familiarity with financial or wealth management industries is a plus
The Executive Assistant role is a full‑time, W‑2 position with total compensation ranging from $65,000 to $80,000, based on experience. Candidates considered for the higher end of this range will have experience supporting an owner or executive running multiple businesses and a demonstrated ability to build, manage, and improve systems and workflows.
