Position: Client Services Associate New Boston, Massachusetts, United States

Overview

The Client Services Associate provides exceptional office and mail services, delivering operational functions in the following areas: processing inbound/outbound mail, distributing/delivering mail, handling shipping and receiving of products and supplies to support the onsite business service center, replenishing/organizing/ordering office supplies, ensuring copy/print machines are functional and stocked, serving as a backup to the front of office (reception/concierge), and providing light maintenance/cleaning.

This position aims to offer the highest level of service to all clients and SPS employees while maintaining a professional image through prompt, courteous, and efficient service.

Responsibilities
  • Provide 5-star customer service to all employees in all forms of communication.
  • Receive inbound mail/packages, sort, and input into chain of custody software; manage outbound mail/package transactions.
  • Perform shipping and receiving duties; notify employees upon inbound deliveries.
  • Distribute mail/packages to company personnel and answer mail/package inquiries as the point of contact.
  • Perform daily operations of multi-function devices (ensure functionality, replenish toner/paper).
  • Submit work orders for requested services.
  • Service and replenish barista, pantry, conference, kitchen, and meeting areas; set up meeting/conference rooms as needed.
  • Assist with light building moves and general maintenance/cleaning as assigned.
  • Maintain neat and orderly Business Service Center and monitor office supplies; reorder as needed.
  • Support copy/print orders and monitor equipment for satisfactory functionality.
  • Proactively seek additional work during downtime and build professional relationships with customers and teams.
  • Maintain professionalism and composure in interactions; train backup staff on policies and procedures and determine additional support needed for sensitive inquiries.
  • Provide reception/concierge coverage as needed and maintain a professional image of the company.
  • Demonstrate strong verbal and written communication, multitasking, and organizational skills; working knowledge of multifunction devices and shipping/receiving procedures.
Qualifications and Education
  • High School Diploma (or equivalent) required.
  • 1+ year(s) of prior work experience preferred.
  • Ability to work assigned hours determined by manager; strong organizational and time management skills; problem-solving abilities.
  • Excellent written and verbal communication skills; ability to learn computer-based systems.
  • Maintain a professional appearance and adhere to policies and procedures.
  • Ability to work independently and complete projects; capability to determine appropriate packing methods and validate packing slips for accuracy of incoming/outgoing materials.
  • Working knowledge of office equipment and shipping/receiving procedures.
Physical Demands
  • Approximately 50% of duties involve physical activity.
  • Ability to grasp, lift, and move packages up to 60 lbs with a wheeled cart; ability to lift or move 40 lbs or greater frequently.
  • Ability to walk, bend, kneel, stand, and sit for extended periods; manual dexterity for operating office machinery.
