About the Opportunity
Salary Range: $75K-$90K | Non-exempt
Schedule: Full-time | Monday-Friday, 9-5
A top national law firm is seeking a highly experienced Private Client Assistant to provide comprehensive administrative and client service support to attorneys and legal professionals within the Private Client / Trusts & Estates practice.
This role is well-suited for a seasoned legal administrative professional who thrives in a fast-paced, client-facing environment, can manage a heavy workload with confidence, and consistently delivers exceptional service with discretion and professionalism.
Qualifications & Skills- College degree or equivalent relevant professional experience required
- 5+ years of legal administrative or legal assistant experience in a law firm or professional services environment required
- Private Client, Trusts & Estates, or Estate Planning experience strongly preferred
- Excellent written and verbal communication skills
- Proven ability to manage high-volume workloads and meet multiple deadlines under pressure
- Strong organizational, administrative, and time-management skills
- Exceptional attention to detail and follow-through
- Demonstrated client service orientation with a professional and polished demeanor
- Ability to work independently and collaboratively across all levels of an organization
- High level of integrity, discretion, and confidentiality
- Proactive, self-motivated, and solution-oriented mindset
- Advanced computer proficiency
, including Microsoft Word, Outlook, Excel, and Power Point - Ability to quickly learn and adapt to new software and legal systems
- Flexibility to work overtime when business needs require
- Provide high-level administrative support to attorneys, associates, legal assistants, and designated team members within the Private Client section
- Deliver exceptional client service
, professionally handling internal and external inquiries, answering phones, and greeting clients - Serve as a primary point of contact for clients
, providing timely information and updates - Maintain strict client confidentiality and handle sensitive information with discretion
- Manage incoming and outgoing mail, phone calls, and email correspondence
- Coordinate and maintain complex, ever-changing calendars
, including meetings, conferences, appointments, and travel arrangements - Proactively send reminders, confirmations, and deadline notifications
- Prepare and proofread correspondence, memoranda, and legal documents accurately and efficiently
- Actively manage attorney and paralegal billable time
, including time entry and monthly billing processes in collaboration with billing specialists - Process expense reports, check requests, and billing edits
, including mailing non-e-bill client invoices - Initiate conflict checks
, draft engagement letters
, and submit client intake documentation - Coordinate administrative workflow across clients, timekeepers, document support, and night assistance teams
- Support attorney projects by managing logistics, deadlines, and communication
- Participate in ongoing training and professional development to enhance efficiency with firm software and systems
- Accurately log daily tasks and activities in firm tracking systems by end of day
- Collaborate effectively with assigned teams and section colleagues
- Assume additional responsibilities as needed to support business priorities
