Team IMPACT is a national nonprofit organization promoting healthy social and emotional development for children living with serious and chronic illnesses, by matching them with college athletic teams. The team provides an extended support network for the children and families using a strengths-based, future-focused perspective. This two-year therapeutic mentoring program provides children with a true sense of belonging and focuses on building confidence and resilience while encouraging healthy behaviors.
To date, Team IMPACT has matched over 4,000 kids on over 750 campuses nationally, and 100,000 student athletes have participated in the program. Founded in Boston, MA in 2011, Team IMPACT has a regional presence in Philadelphia, Los Angeles, Chicago, and Dallas.
Position SummaryThe Executive Assistant will report to and support the Chief Executive Officer (CEO), through various administrative tasks, providing executive-level support including managing the CEO’s daily schedule and calendar management, strategic communication with internal and external constituents, and stakeholders, assist with confidential matters, coordinate the CEO’s executive team projects; serve as liaison to the Board of Directors for administrative and logistical needs and support the CEO’s direct reports.
The ideal candidate must be an experienced professional dedicated to supporting a growing organization with effective operations, present a positive attitude, be self-motivating, and a self-starter. The salary range for this position will be 75K – 95K annually.
Administrative Duties
- Provide high-level executive support to the CEO, serving as an integral member of the team managing priorities, time and workflow, calendar management, scheduling internal and external meetings, preparing agendas, and briefing materials, and coordinating domestic travel.
- Assume responsibility for the timely follow‑up action items and commitments.
- Function as the central point of contact for the CEO’s engagement across the entire organization, ensuring effective preparation for and participation in key meetings, cross‑functional initiatives, and strategic projects.
- Support the CEO with onsite and virtual meetings, proactively track deliverables, deadlines and follow‑ups related to CEO‑led work.
- Support the CEO in the planning and execution of special events, initiatives and external engagements including donor meetings, partner events, internal and external partner meetings, vendor accounts management, approvals, etc., ensuring exceptional professionalism and attention to detail is employed at all levels.
- Manage CEO’s expense reports and reconciliation, ensuring accuracy, timeliness, and compliance with organizational policies.
- Manage CEO’s donor acknowledgement needs.
- Anticipate CEO needs, identify opportunities for increased efficiency and continuous improvement of administrative processes related to the office and board operations.
- Provide executive administrative support to senior leaders when engaging with CEO.
- Among other tasks assigned.
Board Administration
- Manage confidential and sensitive information with discretion and professionalism.
- Serve as the primary administrative liaison to the Board of Directors, supporting strong governance practices and effective communication between the CEO, Board Chair, executive committee, regional and national board members.
- Assume full responsibility for Board of Directors meetings and logistics, including scheduling, agenda coordination, preparation and distribution of materials, board portal updates, and management, recording meeting minutes and posting to the board portal.
- Follow up on items as outlined to ensure action items are tracked and completed in accordance with the plan(s).
- Bachelor’s Degree required.
- A minimum of 4 - 6 years’ experience serving as an Administrative Assistant, Office Administrator, or Executive Assistant.
- Prior experience working with C‑Suite professionals highly desired.
- Exceptional communication skills, verbal and written.
