Boston Civil is a growing civil engineering firm focused on site development, stormwater, and permitting work throughout Greater Boston. We are seeking a reliable, detail-oriented Operations Associate to support day-to-day firm operations and internal coordination as we continue to scale.

This role is designed to support engineers and leadership by improving internal operations, project flow, and administrative efficiency.

Role Overview

The Operations Associate will handle administrative, coordination, and tracking tasks that keep projects and internal systems running smoothly. Responsibilities will evolve over time, but the core focus is on organization, follow-through, and operational efficiency.

This position is ideal for someone who enjoys managing details, improving processes, and supporting a small professional services team.

Key Responsibilities
  • Administrative and operational support (scheduling, document formatting, filing, correspondence)
  • Invoicing assistance and project tracking
  • Preparing, organizing, and submitting project documentation and permit materialsiv
  • Maintaining task boards (Trello) and internal project trackers
  • Coordinating document submissions, deliveries, and occasional field or errand-related tasks
  • Supporting internal systems such as QA/QC checklists, standards documentation
  • Assisting with proposals, outreach tracking, and basic marketing support
  • Communicating with municipalities, consultants, and clients for coordination purposes
Qualifications
  • Strong organizational and communication skills
  • Detail-oriented, dependable, and proactive
  • Comfortable managing multiple tasks and following through independently
  • Experience in operations, administration, or professional services is a plus
  • Interest in working within a small, growing firm environment
  • Primarily in-office (South Boston)
