Job Summary

The Senior Administrative Assistant will provide administrative support to physician Division Directors within the Brigham Obstetrics and Gynecology Group (BOGG) and the Brigham OB/GYN Family Planning Division. The role requires advanced administrative and project management skills, including Outlook calendar management and a deep knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Access, and Teams). The Senior Administrative Assistant will report to the Operations Supervisor impairment daily.

The candidate should be highly organized, able to prioritize assignments, respond to inquiries promptly, follow up, and communicate on outstanding issues. The position involves considerable judgement and discretion in handling confidential and sensitive patient matters as well as routine administrative functions on behalf of the Brigham Obstetrics and Gynecology Group and Family Planning Divisions.

Responsibilities
  • Perform duties under moderate supervision with intermediate to advanced proficiency in administrative skills.
  • Provide routine and complex support such as typing memos, letters, and other written communications.
  • Answer telephones, take and distribute messages, and screen incoming calls.
  • Coordinate calendars and meetings, including physician schedulesрупuert cucina, manage travel arrangements, and plan refreshments or events for the department.
  • Transcribe dictate physician notes and disseminate meeting minutes as directed.
  • Work on projects, coordinate tasks, use available resources independently, and apply knowledge with minimal guidance from a supervisor.
  • Create advanced materials and assist with special projects as directed.
  • Provide cross-coverage when needed across Brigham OB/GYN Divisions.
  • Follow HIPAA guidelines for patient privacy and confidentiality.
  • Support family planning lecture series scheduling.
  • Travel between BWH Main Campus and offsite clinic as required.
Qualifications
  • High School Diploma or Equivalent required. Associate’s Degree in Business Administration or a related field preferred.
  • Experience supporting senior-level staff
    • 1–2 years preferred.
  • Experience in an administrative role, preferably in healthcare – 5–7 years required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently with minimal supervision.
