Location: Roxbury, MA (Onsite, Monday–Friday, 8:00 AM–5:00 PM)
Compensation: $100,000–$125,000
A highly regarded national organization headquartered in Boston is seeking an experienced and exceptionally polished Executive Assistant to provide dedicated scheduling and logistical support to a senior executive. This is a newly created position joining a collaborative team of executive assistants and a Chief of Staff. The team provides shared coverage for executive leadership and values professionalism, discretion, and proactive problem‑solving.

This role is primarily focused on complex scheduling, calendar management, and travel coordination, representing approximately 80–90% of the daily work. You’ll act as a trusted gatekeeper and logistics expert for a high‑profile executive, ensuring every meeting, engagement, and trip is flawlessly executed.
Key Responsibilities- Manage a dynamic, high‑volume calendar across multiple time zones.
- Schedule and coordinate travel, accommodations, and meeting logistics with attention to detail.
- Partner with other Executive Assistants and the Chief of Staff to prioritize, plan, and execute daily objectives.
- Serve as liaison between the executive and internal/external stakeholders.
- Prepare meeting materials, coordinate agendas, and ensure timely follow‑up on action items.
- Maintain discretion when handling confidential information and sensitive communications.
- Manage expense reports and travel reconciliations efficiently.
- Adapt to shifting priorities and provide rapid re‑planning support as needed.
- Bachelor’s degree required.
- 8–15 years of executive‑level support experience, including direct C‑suite exposure.
- Proven expertise managing complex calendars, travel logistics, and scheduling under tight deadlines.
- Highly polished, professional, and poised communicator with strong interpersonal skills.
- Proactive thinker who thrives in a fast‑paced, high‑touch environment.
- Friendly, approachable, and collaborative — a natural relationship builder.
- Exceptional attention to detail, organization, and discretion.
- Demonstrated stability and commitment in past roles; consistent tenure is important.
- Advanced proficiency in Microsoft Outlook, Teams, and Excel; familiarity with travel/expense systems (e.g., Concur) is a plus.
