We are seeking a Senior Operations Lead (Part-Time) to ensure the smooth operation of our Center for Creative Writing by providing administrative and operational support to staff, instructors, students, and community members. This role partners closely with the Managing Director to address space-related issues in our retail space, classrooms, and offices. The position requires being on call for emergencies and may require evening and weekend coverage, up to 25 hours per week.

Responsibilities Administrative Duties
  • Schedule the part‑time operations staff team, including regular shifts and event support.
  • Serve as point of contact for facilities emergencies/issues and escalated to management.
  • Coordinate with TSNE and other vendors on operations issues and needs.
  • Ensure cross‑organizational administrative and operational processes run smoothly, including supply stocking, mail distribution, and more.
  • Provide administrative support for events and rentals, including space reservations and client communications.
  • Provide basic IT/AV support across the organization and coordinate IT system/device maintenance.
  • Other administrative support duties and special project support as needed.
Operational Duties
  • Provide a welcoming presence at the reception desk, registering visitors and checking students into classes.
  • Answer phones, return voicemails, and respond to general inquiries via the info email address; direct or escalated to appropriate departments.
  • Check/distribute incoming mail and packages.
  • Ensure classrooms are ready for use (technology, supplies) and check them afterward.
  • Provide event set‑up and support, including moving bookshelves, setting up chairs, providing AV support, and cleaning up after events.
  • Perform general office tasks such as printing, photocopying, and document organization.
  • Maintain clean and tidy common areas, restock supplies, and place supply orders as needed.
  • Assist in providing requested accommodations.
  • Move or lift objects weighing up to 50 lbs for various needs.
  • Maintain MA TIP certification (at Grub Street’s expense) and provide bartending service for events and programs as needed.
  • Additional tasks as required to support the organization.
Qualifications
  • Strong interpersonal and communication skills—both oral and written.
  • Strong organizational skills.
  • Demonstrates Grub Street’s commitment to anti‑racism and equity in all communications and interactions.
  • Ability to work nights and weekends with varying hours/shifts.
