Job Description

Harvard University Housing & Real Estate (HUHRE) is a department within Harvard Campus Services, a multi‑department organization within Harvard’s Central Administration. HUHRE supports the University’s educational and research efforts by offering a wide array of housing and real‑estate services in University‑owned properties. HUHRE serves as the asset manager for Harvard’s portfolio of commercial spaces and centrally steered institutional assets, overseeing the leasing and operations of University‑owned institutional space for Harvard affiliates and commercial spaces for rent by private tenants in Cambridge and Greater Boston.

HUHRE manages a broad range of initiatives and assets, including leasing, managing and renewing Harvard‑owned housing and institutional spaces, community engagement and programming, vendor relationships, University‑wide policy coordination, and support for new housing and real‑estate development projects across the region.

Job Summary

In the HRE Operations Group, the Property Administrator (PA) reports directly to the Property Manager (PM) and Assistant Director of Operations (ADO). The PA provides exceptional service to HRE clients by understanding the portfolio, communicating with tenants and service providers, and delivering operational, vendor, customer‑service, financial, and administrative support in a fast‑paced property‑management organization.

Job‑Specific Responsibilities Operational
  • Receives calls and enters work orders, follows up, and reviews monthly reports.
  • Partners with the Property Manager, Assistant Property Manager, and Property Operations Assistants for preventative maintenance.
  • Provides support, prioritization, and coordination of assignments for Property Operations Assistants.
  • Coordinates service‑related contracts and maintains building supplies; acts as primary contact for vending machines, building‑access systems, and implements recycling programs.
  • Implements requested changes in Harvard CCure building‑access systems.
  • Coordinates with the Fire Group to schedule impairments and notify tenants.
  • Collaborates with the team to improve cost‑effectiveness and service quality.
  • Performs administrative support with tenant notification documents.
Vendor Management
  • Acts as liaison with service providers and communicates regularly under direction of PM and ADO.
  • Assists in tracking vendor certificates of insurance for compliance.
  • Communicates invoice backup and revisions.
Customer Service
  • Answers telephone and responds to inquiries from tenants, service providers, and community members.
  • Assists with building‑related special events and projects.
Financial & Administrative
  • Maintains utility spreadsheets and updates data for tenant changes.
  • Processes invoices and reimbursements via Buy2

    Pay, maintains P‑Card backup, and ensures approvals.
  • Follows up on rental delinquencies.
  • Participates in training and professional development.
  • Provides general administrative support (typing, filing, ordering supplies).
Qualifications Basic Qualifications
  • Two or more years’ experience with commercial property management.
  • Ability to work under pressure and meet deadlines.
  • Excellent customer service, organizational, written, and communication skills.
  • Proficiency in Microsoft Office and strong computer skills.
