Compliance Administrative Assistant - 6 month contract!

As a Compliance Administrative Assistant, you’ll be at the heart of ensuring foundational processes run smoothly, empowering the compliance group to uphold the highest fiduciary standards. Compensation: $23-24/hour

Overview

Key Responsibilities
  • Managing calendars and scheduling meetings with senior team members, coordinating efficiently with executive assistants.
  • Drafting and editing policy documents, internal memos, and client communications using Word.
  • Analyzing extensive data sets in Excel, utilizing functions like V-lookup and pivot tables to identify discrepancies and update information.
  • Converting images and PDF files into searchable digital formats for streamlined access.
  • Organizing and maintaining electronic client files and annotating relevant client guidelines.
  • Assisting with compliance checklist reviews, creating electronic folders, following up on outstanding items, and escalating issues when necessary.
  • Supporting the Trading Compliance Group in preparing materials for client certifications and reviewing trade surveillance reports to identify and elevate exceptions for review.
Required Skills
  • Proven expertise working with large, complex Word documents, including formatting, footnotes, and hyperlinks for detailed Table of Contents.
  • Strong proficiency in Excel, especially with large datasets, formulas, and data comparison tools.
  • Excellent organizational skills with a keen eye for detail.
  • Effective communication skills, both written and verbal, with the ability to prioritize tasks and meet strict deadlines.
  • Ability to work independently with minimal supervision.
Preferred Education And Experience
  • Previous experience supporting compliance or audit teams within the financial services sector.
  • Familiarity with Lotus Notes and Nuance Power PDF Advanced software is a plus.
  • Prior experience working in a fast-paced office environment.
