Rand & Sweet is a modern Client Accounting & Advisory Services (CAS) firm serving small and mid‑sized businesses. We are a systems‑first, tech‑forward firm focused on delivering clean financials, disciplined processes, and scalable accounting operations.

As we grow, we are hiring a Client Accounting Implementation Lead with direct experience in outsourced accounting and strong Quick Books Online expertise to lead new client onboarding and ensure each engagement begins with structure, accuracy, and clarity.

The Role

This role owns the execution of a consistent, scalable client onboarding process.

From proposal issuance through transition to steady‑state service, you will lead clients through implementation. In doing so, you will ensure financial systems are connected, data is organized and reviewed, and workflows are clearly documented to support a seamless handoff to the accounting team.

This is a technology‑forward role requiring strong accounting fundamentals, exceptional organization, and confidence working within modern cloud accounting systems. While complex accounting determinations remain with the Controller, you play a critical role in ensuring data integrity, operational readiness, and a strong client experience from day one.

Key Responsibilities Client Onboarding & Implementation
  • Coordinate proposal issuance and agreement execution, then lead new clients through onboarding and transition to ongoing service.
  • Serve as primary client contact during implementation
  • Establish onboarding timelines and proactively manage milestones and dependencies
  • Hold clients accountable to information and access deadlines
  • Maintain clear, consistent communication throughout onboarding
Systems Setup & Financial Configuration
  • Coordinate setup and/or review of systems such as:

Quick Books Online

Payroll systems

Bank and credit card feeds

  • Obtain and validate view access to all financial accounts
  • Partner with Controller to align chart of accounts in alignment with firm standards
  • Coordinate opening balance review and any required historical cleanup in collaboration with the accounting team
  • Ensure data integrity before handoff to the accounting team
Internal Coordination & Handoff
  • Collaborate with VP of Operations and Controllers to define onboarding scope and technical approach
  • Coordinate task delegation to the India‑based accounting team where appropriate
  • Prepare structured onboarding summary and documentation for internal handoff
  • Ensure clean transition to steady‑state service with no ambiguity or rework
Documentation & Process Discipline
  • Work with our offshore accounting team to create playbooks for all client accounting processes
  • Identify opportunities to improve onboarding efficiency and consistency
  • Contribute to system and automation improvements
  • Support ongoing refinement of internal workflows as the firm scales
Accounting & Transactional Support (As Needed)

During periods of lower onboarding volume, this role will contribute to ongoing accounting operations in support of the team. Responsibilities may include:

  • Client bill pay processing
  • Transaction coding and review in QBO
  • Bank and credit card reconciliations
  • Assisting with journal entries
  • Supporting preparation of month‑end reporting packages
  • Managing small client accounts under the direction of a Controller

While this role does not typically own complex month‑end close processes, it may support or independently manage limited‑scope engagements as needed.

Success in This Role Looks Like
  • Clients are onboarded within established timelines (typically 30–60 days)
  • Access to client financial systems are properly setup for the accounting team
  • Strong processes and documentation are followed consistently, improved over time, and enable smooth transfer of responsibilities when team changes occur
  • Internal handoff to Controller is seamless
  • Clients feel organized, informed, and confident in our process
  • Minimal rework is required post‑onboarding
What We’re Looking For Required
  • 3–5 years of experience in CAS, outsourced accounting, or client implementation roles
