Role Summary

We’re looking for a detail‑obsessed Sales Coordinator to own the paperwork, portals, and processes that support our retail sales team. This role is heavily executional and operational focused on retail portals, item setup forms, promotional submissions, and internal tracking.

You’ll be the backbone of our retail operations, ensuring that products are set up correctly, promotions are submitted accurately, and all retailer requirements are met without exception.

What You’ll Do

Retail Portals & Item Setup (50%)

• Own day‑to‑day management of retail customer portals (Walmart Retail Link, Target Partners Online, Amazon Vendor Central, Kroger, etc.).
• Complete and submit new item setup forms, item maintenance updates, cost changes, and assortment changes.
• Upload and maintain accurate product data, pricing, case pack info, GTINs, images, and compliance documentation.
• Monitor portals for errors, compliance flags, rejected submissions, and required actions and resolve them quickly.
• Act as the point person for troubleshooting item setup issues and data discrepancies.

Promotions, Paperwork & Submissions (35%)

• Prepare and submit retailer promotional forms, deal sheets, ad agreements, and pricing submissions.
• Maintain promotional calendars and ensure deadlines are met across all customers.
• Track submission status, approvals, and follow‑ups to ensure nothing slips through the cracks.
• Coordinate internal approvals with sales, finance, and operations to keep submissions accurate and aligned.
• Maintain organized records of all retailer paperwork and submissions.
• Support sales team with meeting prep, trackers, and documentation as needed.
• Update CRM and internal trackers with item, pricing, and promo information.
• Help refine and document processes to improve speed, accuracy, and consistency.
• Be the go‑to person who keeps sales operations clean, organized, and audit‑ready.

What You Bring

• 2+ years of experience in CPG sales coordination, retail operations, or account support.
• Hands‑on experience with retail portals and item setup processes.
• Strong Excel and organizational skills; comfortable managing detailed forms and trackers.
• Extremely detail‑oriented, accurate, thorough, and deadline‑driven.
• Comfortable handling repetitive, process‑heavy work while juggling multiple retailers.
• Clear communicator with a proactive, “I’ll handle it” mindset.

Bonus Points

• Experience with food & beverage, wellness, or beauty brands.
• Familiarity with promotional submission workflows at major retailers.
• Startup or high‑growth company experience.
• Enjoys building structure, checklists, and systems from the ground up.
