About This PositionThe Associate Property Manager oversees a small portfolio and supports the Property Manager(s) in the operational and financial success of their assigned commercial properties. This role assists with tenant relations, building operations, vendor coordination, and administrative functions. You will gain deep knowledge of each property’s systems and needs while contributing to our core focus of Enriching Communities and Building Legacies

- Develop and maintain an in-depth working knowledge of assigned properties and ownership goals.
- Assist Property Managers in maintaining regular communication with property owners.
- Support tenant retention by responding to questions, service requests, and general inquiries in a timely manner.
- Help monitor tenant compliance with lease terms, building rules, and maintenance requirements.
- Operations & Building Maintenance
- Ensure properties are maintained in the best possible physical condition within budget constraints.
- Assist with building systems such as HVAC, fire/life safety equipment, elevators, and security systems to ensure regulatory compliance and reliability.
- Conduct regular property inspections; identify, recommend, and direct maintenance, repairs, and capital improvements as necessary.
- Assist in bidding, contracting for, and managing vendor and contractor services, ensuring performance meets contract requirements and service expectations.
- Assist in preparing annual budgets by gathering historical data, and vendor proposals.
- Review monthly financials with the Property Manager and help explain variances.
- Support collection efforts by following up with tenants on outstanding balances.
- Prepare and maintain files, reports, and documentation related to property operations.
- Leasing Support & Tenant Transitions
- Assist with tenant move-ins and move-outs, including walkthroughs, condition reports, and coordination of move-in/move-out requirements.
- Provide leasing team with property information and help ensure vacant spaces are market-ready.
- Process required paperwork for tenant transitions and account closures.
- Governance & Representation
- Support Property Managers in attending owner association meetings as needed and documenting action items.
- Help source, schedule, and oversee vendor and contractor services.
- Review work performed and confirm completion prior to submitting for invoice approval.
- Maintain organized records of contracts, proposals, and service agreements.
- 1–3 years of experience in property management, facilities, real estate, customer service, or related field.
- Valid driver’s license and reliable, insured vehicle.
- Strong organizational and multitasking skills with high attention to detail.
- Basic understanding of financial reports and property budgets (willingness to learn is essential).
- Excellent customer service and communication skills.
- Ability to work collaboratively with team members, tenants, and vendors.
- Proficiency with Microsoft Office; familiarity with App Folio or Avid Xchange a plus.
