Description
As a Front Desk Legal Assistant, you will perform a variety of administrative tasks in a collaborative, team-oriented culture. You will support local attorneys, paralegals, and the team by assisting with fee agreement drafting, calendaring, filing court documents, client communication, and preparing and organizing files for attorneys during trial, hearings, and other court appearances. Staff the front desk, answer calls, and be the first impression for clients and vendors that visit the office.
Essential Duties and Responsibilities- Intake of incoming visitors, direct clients to conference rooms, and provide hospitality by offering drinks, snacks, etc.
- Maintain office supplies list and keep common areas clean.
- Taking payments, making bank deposits, and reconciling petty cash.
- Answer all incoming telephone calls.
- Process client-related documents from paralegals and other employees and ensure they are properly filed within the client files.
- Locate and prepare necessary files for attorneys to use during upcoming court appearances, hearings, trials, and client meetings.
- Maintain the file room, update files as requested by paralegals and attorneys; e-file and scan documents to update physical and digital files, including filing/e-filing briefs, memorandums, discovery, letters, and other legal documents.
- Travel to court to file documents with the Clerk of the Court and present documents to the Court for signature.
- Provide support as requested by paralegals/attorneys with file review and preliminary legal research and drafting.
- Calendaring hearings, deadlines, meetings, and other events as directed.
- Provide superior service to clients efficiently.
- Develop and maintain a well-respected reputation among clients, opposing counsel, judges, court staff, and colleagues.
- All other duties as assigned.
High School Diploma or GED required; a college degree or 2+ years of legal experience preferred. Must have excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers. Ability to talk, listen, and speak clearly on the phone and through written communications. Computer proficiency (MS Office: Word, Excel, and Outlook). Must be able to work under pressure and meet deadlines while maintaining a positive attitude and exemplary customer service.
Ability to work independently and complete assignments within prescribed instructions and standard practices.

Strong process, project, and operational management skills; demonstrated organizational and prioritization abilities; ability to juggle multiple mandates simultaneously; excellent analytical skills and the ability to use data and experience-based judgment to make decisions; creative thinker with strong communication and interpersonal skills. Positive and professional demeanor; proven track record of collaborating with cross-functional groups (e.g., Finance, Operations, Sales, IT) to set objectives and produce meaningful results.

Work Environment/Conditions/Physical DemandsDuties will be performed in a standard office environment. Employees must have the ability to maintain regular, punctual attendance consistent with Gravis policy. While performing the duties of this job, the employee may be required to work weekends, holidays, be on call, and some employees may travel overnight on occasion.
