Summary: This position will begin as a contract role with the potential to transition into a permanent position with JH Kelly. The Field Administrator plays a key role in providing administrative support functions to ensure the collaboration efforts of office coordination and field operations. The position is responsible for the accurate and timely processing of assigned tasks. The successful candidate is detail-oriented, organized, adaptable, collaborative, and possesses strong communication skills.
Salary Range: $20 - $28 per hour (DOE), FLSA non-exempt (OT eligible).
Key Responsibilities:
- Weekly payroll processing of timecard data to the corporate office.
- Disseminate office correspondence, both incoming and outgoing, including phone messages, faxes, files, and payroll checks.
- Work closely with project staff, field, and other staff personnel for the administration functions of job mobilization, job tracking and reports, subcontracts, and change order logs.
- Set up and schedule conference calls for project meetings.
- Verify that phase codes, project numbers, and contracts are accurately written and assigned.
- Information/Doc control support tasks.
- Run errands on behalf of project/team needs as needed on a daily/weekly basis.
- Assist with new hire paperwork for onboarding field employees.
- Assist with keeping the office area organized.
- Maintain office supplies and inventory.
- Perform additional tasks as assigned.
Relationships:
- Maintain proactive and positive relationships within the JH Kelly operating groups and teams, including shop and field craft personnel.
- Foster positive relationships with customer representatives, vendors, suppliers, subcontractors, safety, CAD/BIM, accounting, IT, and all project teams.
Experience /
Qualifications:
- High school diploma or equivalent certification.
- Minimum of one (1) year of experience in an administrative support position.
- Preferred:
Knowledge of the construction industry.
- Preferred:
- Experience working with PDF documents and the use of editing and marking-up tools such as Bluebeam.
- Fully proficient in Microsoft Office and Smartsheet, with intermediate skills in Excel.

- Ability to input data with a high degree of accuracy and attention to detail.
- Skills and ability to work collaboratively, effectively, and professionally with managers, construction field workers, and office personnel.
- Ability to handle stressful situations courteously and professionally.
- Comfortable in a fast-paced environment with multiple tasks and projects at hand.
- Able to organize and manage large amounts of files, tasks, schedules, and information
- Self-directed and able to work with limited supervision.
- Energetic and eager to prioritize workload and tackle new projects and ideas.
- Excellent oral and written communication skills.
- Must have a valid driver’s license and a clean driving record.
Physical Requirements
Physical requirements for this role include the ability to transition frequently between an office and a construction field setting. In the office, the individual must be able to sit for extended periods while working at a computer, performing repetitive tasks such as typing and using a mouse, and communicating by telephone. In the field, the individual must be capable of standing and walking for extended periods on various surfaces, including uneven terrain, and climbing stairs as required.
The role also necessitates the ability to kneel, crouch, and crawl to view/inspect tight spaces, as well as occasionally lifting 40 pounds. Good vision and…
