Job Description

We are seeking an experienced Administrative Assistant who is detail-oriented, ethical, and proactive. The ideal candidate is a strong communicator, can manage multiple priorities seamlessly, and takes pride in delivering excellent client service. This role is central to ensuring smooth day-to-day operations and supporting our advisors in providing exceptional value to clients.

Key Responsibilities
  • Greet and welcome clients and guests in a professional manner
  • Answer and route incoming calls, ensuring proper phone etiquette and detailed message-taking
  • Manage scheduling and coordinate meetings for advisors and clients
  • Open and distribute mail, packages, and incoming correspondence
  • Maintain updated records and organize client files (including scanning meeting notes)
  • Generate reports and prepare materials for advisor meetings
  • Assist clients with general inquiries and provide support as needed
  • Monitor office supplies and place orders as necessary
Requirements
  • 3+ years of experience
    as an Administrative Assistant or in a related support role
  • Proficient in English (oral and written)
  • Excellent phone etiquette and interpersonal communication skills
  • Strong organizational skills with the ability to multi-task effectively
  • Experience with scheduling meetings
    and managing calendars
  • Advanced knowledge of Microsoft Office (Excel, Word, PowerPoint)
  • Familiarity with Docu Sign
    and digital file management
  • Customer service orientation and ability to build strong professional relationships
  • Team player eager and willing to work with others
  • Salary Range:$45,000-$55,000
