Assistant Controller / Contract Administrator
Job Purpose:
Under the direction of the Chief Financial Officer, the Assistant Controller / Contract Administrator will support the monthly close and financial reporting process, sales and use tax compliance, payroll and certified payroll administration, employee onboarding, and contract administration. This role bridges accounting and operations and is critical to ensuring compliance, efficiency, and timely financial and administrative execution.
- Assist with monthly, quarterly, and year-end close processes, including preparation and posting of journal entries and account reconciliations.
- Support sales and use tax compliance, including data collection, filings, reconciliations, and coordination with external advisors and taxing authorities.
- Assist with payroll processing, including multi-state payroll, certified payroll reporting for construction projects; and managing the incentive compensation program for the Sales and Project Management teams.
- Support employee onboarding processes, including coordination of new hire documentation and setup in payroll and HR systems.
- Assist with contract administration, including contract intake, organization, tracking key terms, and providing contract review support to management.
- Assist with job cost accounting, job setup, and coding of vendor invoices within construction accounting software.
- Maintain accurate financial and administrative records in accordance with company policies and GAAP.
- Prepare supporting schedules and documentation for audits and internal reviews.
- Handle sensitive or confidential information with honesty and integrity.
- Take on additional projects and cross-functional responsibilities to support finance, operations, and administrative initiatives.
- Bachelor’s degree in Accounting, Finance, or a related field; CPA or progress toward CPA preferred.
- 3–7 years of relevant accounting experience, preferably in construction, engineering, or project-based environments.
- Strong understanding of GAAP, general ledger accounting, and financial reporting.
- Experience with payroll processing and certified payroll requirements.
- Working knowledge of sales and use tax compliance.
- Experience with construction accounting and job cost systems.
- Strong computer proficiency, particularly in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and comfort with accounting and ERP systems.
- High level of efficiency, accuracy, organization, and accountability.
- Strong communication skills and ability to work effectively across departments.
- Bilingual (Spanish/English) is a plus.
