Position Summary

This role is for someone who sees what needs to happen before anyone asks and acts on it. You bring order to complexity, anticipate needs, and take ownership of outcomes. You understand that in a lean, high-performing organization, the Office Manager isn’t a supporting role; it’s a critical one.

Adakon Energy operates in the heavy industry at the frontier of energy infrastructure. We’re growing, and we’re looking for an Office Manager who wants to grow with us. This is an opportunity to build something to establish systems, shape operations, and become an indispensable part of a company doing meaningful work in a sector that matters.

The Office Manager will operate with a high degree of autonomy and will regularly make independent decisions that support business continuity and operational efficiency. At times, this role will require working independently in the office for extended periods, while remaining closely aligned with leadership and team members through established communication channels. As portions of our team are remote, consistent and timely communication is essential to success in this position.

Location: On-site in downtown Bluffton, SC

Compensation: $65,000–$78,000 annually, depending on experience

Key Responsibilities

Responsibilities include, but are not limited to:

  • Oversee and coordinate administrative operations across the organization
  • Manage and act as the primary liaison for the IT team, ensuring systems, tools, and support needs are addressed promptly
  • Supervise and support the administrative and payroll team to ensure accuracy, compliance, and efficiency
  • Assist the VP of Finance with business-related filings and maintenance, including licenses, renewals, entity management, and related documentation
  • Coordinate domestic and international team travel, including flights, accommodations, and itineraries
  • Manage office operations, including inventory, supplies, vendor relationships, and general upkeep
  • Answer incoming calls and route communications appropriately, maintaining a professional first point of contact for the company
  • Maintain organized records and documentation across administrative, operational, and compliance functions
  • Identify process improvements and implement solutions that support a growing organization
Qualifications
  • Ability to work independently while exercising sound judgment and knowing when to loop in leadership
  • High level of discretion and professionalism when handling confidential information
  • Proven experience in an office management, operations, or administrative leadership role
  • Strong organizational skills with the ability to prioritize and shift focus as business needs evolve
  • Excellent communication skills, both written and verbal
  • Thrives in a dynamic environment where priorities shift, and resourcefulness is valued
  • Proficiency with standard office software, collaboration tools, and administrative systems
