Overview
AUXILIARY SERVICES ADMINISTRATIV (BA-AXAD-IUBLA). Auxiliary Business Services is a diverse group of organizations that provide essential services to students, faculty, and staff, in support of the university's academic mission on the Bloomington campus. Our Shared Service Center focuses on providing efficient and effective administrative services to help these organizations achieve their goals. The Shared Service Center provides services related to Finance, Purchasing, and Payroll.
This position primarily works with the Indiana University (IU) Dining.
- Department-Specific:
Uses the internal dining inventory software to run reports, review receipts, and compare to supplier invoices. - Inputs receipts in IU's procurement system, Buy.
IU. - Invoices data entry into OnBase.
- Reviews invoices for accuracy and responds to questions related to invoices or the accounts payable process.
- Reviews open purchase orders and closes them as needed.
- Communicates with suppliers and internal customers regarding invoices in a timely manner.
- Collaborates with the Student Life and Auxiliaries Shared Services purchasing team to improve processes.
- General:
Under moderate supervision, performs routine and ad hoc administrative tasks in support of the procurement function, administering the transactions associated with obtaining goods and services for the university. - Serves as an informational resource for department or other departments in identifying appropriate vendors and suppliers.
- Responds to employee inquiries and requests and explains policies and procedures.
- Monitors procurement processes and communicates issues with supervisor to inform decisions.
- Oversees inventory of necessary items and coordinates reorder, inventory receipt, and/or returns as needed.
- Prepares reports to monitor outstanding procurement documents and payments.
Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.
Education and Experience- Required

High school diploma or equivalent (such as HSED or GED) - Work Experience
: 2 years in relevant field

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of moving around an office environment and the campus. The person in this role must be able to move items up to 30 pounds rarely. The person in this role must be able to perform the essential functions with or without an accommodation.

This is a Non-Exempt CWA position. Bloomington, Indiana.
