The Enrollment Support Specialist (ESS) plays a critical administrative role in supporting the enrollment process at Western Atlantic University School of Medicine (WAUSM). Reporting to the Senior Enrollment Manager for day‑to‑day operations and to the VP of Enrollment Management for HR‑related matters, this position is responsible for ensuring prospective and admitted students submit all required documentation in a timely and organized manner.
The ideal candidate will be exceptionally detail‑oriented, highly organized, and proactive in follow‑up and follow‑through. This role spans the entire enrollment funnel—from helping applicants complete their files and progress through admissions review, to guiding admitted students through the final steps of matriculation. It also includes coordination with internal departments such as Student Financial Services, the Registrar, and Student Affairs, as well as managing pre‑med student information and onboarding materials for undergraduate partner institutions.
This is an in‑person position located in Bloomfield, NJ.
Responsibilities:- Schedules and facilitates applicant interviews with faculty; collects and submits written application summary and decision recommendations to admissions coordinator
- Provides outreach to applicants throughout the admissions funnel up to enrollment
- Collaborates with the Office of Student Finance and the Office of Student Affairs in transitioning the applicant to a newly enrolled student
- Serves as the secondary contact to applicants by routinely communicating by phone, email, and text
- Reports activities and tracks applications/documents and student outcomes up to and including enrollment
- Partners with colleagues to provide support to students in each phase of the admissions process and to ensure a smooth transition from applicant to enrolled student status
- Continuously enhances product knowledge to effectively advise students
- Stays abreast of medical education trends, market and demands to execute enrollment strategies
- Uses the CRM (Slate) to track activities, enter notes and plan events
- Conducts self with WAUSM’s Mission and Core Values guiding all activities and interactions
- Completes other duties as assigned by the management team

- Bachelor’s degree required
- 3‑5 years of previous admissions experience preferred
- Ability to be self‑directed
- Flexibility to schedule working time around students’ and/or departmental needs
- Outstanding written and verbal communication skills are required
- Capacity to work in a fast‑paced environment, be a quick learner, and a self‑starter
- Exceptional organizational and time‑management skills
- Prior CRM experience preferred (Slate, Salesforce, etc.), but not required
- Enjoys interacting with prospective students remotely while creating meaningful relationships
- Desire to work in a team‑oriented environment along with the ability to work well independently
- Goal oriented and internally motivated
