Requirements

Inherent Requirements
  • A relevant bachelor’s degree or an Advanced Diploma/B.Tech degree/Postgraduate Certificate on NQF Level 7 or a relevant National Diploma on NQF Level 6.
  • Minimum of one (1) year of relevant working experience related to the duties and responsibilities.
Recommendations
  • Experience with in the higher education environment.
  • Knowledge of university systems, policies, and procedures.
Duties And Responsibilities Academic Administration (60 %)
  • Perform registration activities (pre‑and onsite) for new and returning students and resolve queries.
  • Provide curriculum advice, under the guidance of programme directors, in accordance with faculty rules and regulations.
  • Process assessment results, including import/capture marks, sort scripts, verify statistics, set up Gradebook and upload marks, quality‑assure mark processes and resolve queries.
  • Track student graduation eligibility, identify and refer anomalies in academic records, and prepare and submit qualifying student lists for approval.
  • Provide support during graduation ceremonies.
  • Prepare/draft official correspondence (e.g., NSFAS propensity letters, student progress reports, confirmations of registration, medical aid letters) for review and sign‑off by the responsible official. Issue routine correspondence within delegated authority and respond to student or stakeholder inquiries.
  • Assist with departmental timetabling, e.g., ad‑hoc venue bookings.
  • Provide administrative support to the Programme Directors in the processing of postgraduate applications.
Research Committee Administration (10 %)
  • Provide admin support to advance the research endeavours of the school, including:
  • Secretarial support to the School Research Committee (drafting agendas, taking minutes and following up on action items).
  • Capture research‑related data on RIMS and generate related reports.
Marketing and Events (20 %)
  • Organise School marketing, staff and student events.
  • Ensure the School webpage is accurate and up to date, and initiate requests for updates with the Faculty Marketer.
  • Maintain the School’s Facebook page and source relevant content.
  • Represent the School at open days and other marketing events.
General Administration (10 %)
  • Support the smooth functioning of departmental operations through ad‑hoc administrative duties.
  • Assist with procurement and payment processes (e.g., requisitions, purchase orders, claims) in accordance with UFS financial procedures.
  • Manage the School’s prescribed textbook process: order staff desk copies, compile and distribute the School’s booklist to all relevant stakeholders.
