Overview and Objectives of the Position:

This role combines the administrative responsibilities of the Luxury Residential Co‑ordinator with a strong customer‑facing element. Although based primarily in the Sales Office, the position will work in the Luxury Residential Showroom whenever clients visit or have scheduled appointments, acting as the first point of contact for architects, designers, developers and private clients.

The role requires exceptional presentation, hospitality and communication skills, along with a keen eye for detail and the ability to deliver a premium showroom experience. The position will support the Luxury Residential Sales Managers with enquiries, samples, quotations and order processing, ensuring a seamless service from initial contact through to project completion.

Key Accountabilities

Showroom Responsibilities

  • Welcome and host clients in the Luxury Residential Showroom, ensuring a professional and engaging experience.
  • Provide product guidance, inspiration and support during client visits.
  • Maintain immaculate showroom presentation, ensuring displays, samples and literature are always up to date.
  • Manage showroom appointments and walk‑ins, ensuring visitors are supported promptly.
  • Prepare sample boards, literature packs and presentation materials for client meetings.
  • Support Sales Managers during client consultations and project discussions.

Administrative Responsibilities

  • Liaise with customers and suppliers via telephone and email.
  • Process architect and customer sample requests, including web requests.
  • Liaise with Marketing and Sample Wallets for project‑specific literature as directed.
  • Order samples from suppliers, track progress and coordinate with the Samples Department.
  • Produce accurate sales quotations and place orders with manufacturers and suppliers.
  • Obtain third‑party quotations (fabrication, haulage, etc.).
  • Request PTV/SRV/NCS tests through Filemaker and distribute results as required.
  • Provide product‑specific data sheets, including environmental, BREAAM, cleaning and maintenance documentation.
  • Arrange cost‑effective international and UK transportation of orders.
  • Organise express and container deliveries to site when required.
  • Provide customers with regular updates on enquiry and order status.
  • Raise stockloaders for new tiles in SAP.
  • Maintain accurate project information and forecasts in SAP.
  • Run sales opportunity tracking reports for the Sales Manager.
  • Monitor all live sales orders for pro‑forma and account customers.
  • Liaise with Credit Control regarding new accounts, limits and on‑hold orders.
  • Assist in resolving onsite issues by liaising with suppliers, hauliers and technical teams.
  • Process sales returns in agreement with the Managing Director and notify the Birmingham Showroom Manager of returned stock.
  • Offer add‑on products to increase sales.
  • Provide administrative cover when the Luxury Residential Co‑ordinator is absent.
  • Undertake additional tasks as delegated by the Sales Manager or Line Manager.

  • Previous showroom, retail, or client-facing experience preferred.
  • Strong visual awareness and a keen eye for detail.
  • Confident, polished and professional communication style.
  • Ability to create a welcoming and inspiring environment for clients.
  • Strong administrative and organisational skills.
  • Ability to multitask and adapt to changing priorities.
  • High level of personal presentation and professionalism.
  • Strong work ethic, integrity and accountability.
Language Skills

Excellent verbal and written English.
