Role Client Administrator within Financial Planning (Birmingham) – this is a hybrid role with in-office requirements. Initially, probation may require five days in the office; subsequently, three days in the office per week.

Responsibilities
  • To work closely with the aligned Financial Planners to deliver excellent client outcomes.
  • To build relationships with clients and maintain regular contact.
  • Maintain back-office systems and client records in line with the company policies.
  • Request policy information from third party policy providers if applicable.
  • Liaise with operational teams where support is provided on activities (e.g., scripts, transfers, corporate actions, static data changes).
  • Preparation of meeting packs and valuations (as required).
  • Process all business in accordance with required processes & proactive pipeline management, to include establishing new accounts on internal systems and collating AML documentation as required.
  • Identify and report any risks, breaches, or errors through ensuring risks are logged through to mitigating actions and controls.
  • Encourage client use of portals and other digital tools, providing guidance where required.
  • Collaborate and share best practices with colleagues.
Qualifications and Skills
  • Previous experience supporting Financial Advisors / Planners – ideally 2 to 5 years.
  • Knowledge of processing new business, preparing meeting packs, valuations, withdrawals.
  • Knowledge of financial products ISAs, GIAs, SIPPs, Pensions, Offshore Bonds & Trusts.
  • A strong ethic of client service.
  • Ability to work under pressure and prioritise work in a busy environment.
  • Excellent written and verbal communication, influencing and organisational skills.
  • Ability to use judgement and reasoning to propose solutions to problems.
Education and Professional Qualifications
  • Excellent standard of education, ideally degree qualified but not essential.
  • Interest in further development through additional qualifications.
