Position: Medical Receptionist /Admin Assistant

Job Summary

We are looking to hire an experienced part‑time Medical Receptionist/ Admin Assistant for ACE Medical Partnership. The role requires 20‑25 hours per week, covering 4‑5 days each week with shifts in the morning and afternoon. The ideal candidate will have prior experience in a GP surgery, demonstrate exceptional customer service skills, work effectively under pressure and exhibit flexibility to cover absences and annual leave.

Key Responsibilities
  • Open and prepare the practice premises, activate/deactivate alarms and ensure reception and waiting areas are safe, tidy and welcoming.
  • Maintain the appointments system, book routine, urgent and follow‑up appointments and manage patient flow effectively.
  • Undertake telephone triage in accordance with practice protocols, taking accurate messages and ensuring prompt delivery.
  • Register new patients, update patient records, file correspondence, process repeat prescriptions and handle mail and clerical support.
  • Advertise private service charges, accept payments, issue receipts and facilitate clinical waste collections.
  • Ensure accurate data entry and compliance with GDPR, health and safety, infection control and safeguarding procedures.
Qualifications and Experience
  • GCSE grade A–C in English and Maths.
  • Experience of reception and admin assistant work, preferably in a medical setting.
  • Proficient IT skills, comfortable using Emisweb and Docman
    10 clinical systems.
  • Qualified to NVQ level 2 or 3 in Health and Social Care (desirable).

  • Excellent interpersonal and communication skills with a calm, polite manner under pressure.
  • Organisation, reliability and punctuality with a flexible approach across all practice sites.
  • Competent computer user and ability to maintain confidentiality.
