Trainee School Data Officer

• School office based, data entry and administration

The Role:

You will support the data and exams team so information is accurate and on time. You will maintain pupil records in the MIS, update admissions, leavers and timetable changes, and check attendance and behaviour data daily. You will prepare simple reports for year teams and SLT, help publish assessment points, and keep parent contacts and consents up to date. You will assist with exam entries, seating plans and results day tasks, and process staff cover and rooming changes as needed.

You will follow GDPR and safeguarding protocols, file evidence for audits, and log tickets with MIS support when issues arise. You will keep clear action lists, meet internal deadlines and communicate progress to the Data Manager.

The Candidate & Requirements:

You’re detail driven, fast on a keyboard and comfortable owning deadlines. You spot errors quickly, fix them without fuss and keep a clear audit trail. You communicate simply with staff and parents and stay calm when the inbox gets busy.

  • Degree, 2:2 or above in any subject.
  • Fast, accurate data entry with consistent version control and naming.
  • Communication, clear written English for emails, reports and SLT updates, professional phone manner.
  • Understanding of GDPR, data security, user permissions and safe record keeping.
  • Able to prioritise tasks, track cut offs and meet internal publishing deadlines.
  • Exams support ready, comfortable with entries, seating plans and basic timetabling changes.
  • Enhanced DBS, already held or willingness to obtain.
The School:

This ‘Outstanding’ Central Birmingham secondary runs tight, predictable systems. The MIS is used consistently across departments with shared codes, templates and deadlines, which makes reporting clean and repeatable. You will work in a supportive office with clear procedures for attendance, assessment and exams. The school offers a structured induction, step by step MIS training and weekly check ins with the Data Manager.

You will gain experience with platforms such as Arbor or SIMS or Bromcom, plus Microsoft 365, with opportunities to take ownership of specific data cycles once confident.
