Job Summary
This vacancy is for one Facilities Receptionist within the Facilities team at BCHC Foundation Trust. The post is based at Moseley Hall Hospital on a 6 months fixed term contract. Job ResponsibilitiesTo receive all patients/clients/visitors to the Centre/Clinic in a courteous and welcoming manner and direct them to the appropriate room/department. Be aware of waiting times and inform departments/clinicians as appropriate. To answer queries from patients/clients/visitors, their relations, or carers both face to face and on the telephone, seeking advice from professional staff where appropriate. Maintain a working knowledge of Trust services and where they can be accessed.
Liaise with staff and security to ensure cars are parked in designated areas outside Main Reception, including operation of the barrier entry system. Monitor and operate CCTV cameras and alert security to potential issues. Issue temporary control fobs/swipe cards for authorised personnel (e.g., Doctors, Bank and Agency Workers) and highlight concerns to management. Book transport and collection of bloods and samples from Moseley Hall Hospital Reception to Queen Elizabeth Hospital.
Keep a log of jobs for Porters and assign jobs via handheld radio, ensuring radios are charged. Provide cover for Switchboard on an ad hoc basis. Maintain reception area cleanliness and clear walkways, following the clear desk policy. Manage day-to-day photocopier functioning and undertake photocopying/printing (e.g., printing Reception Rota). Print and display Room Booking entries for meeting rooms daily. Maintain key cabinets with keys clearly labelled and signed in/out.
Receive and sort internal/external post; redirect as appropriate. Receive and log special/recorded delivery items and arrange collection with relevant staff/departments.
The responsibilities above are reiterated to describe the front-of-house reception duties, including customer service, information provision, security related tasks, transport/logistics for samples, mail handling, and office equipment management.
Person SpecificationEssential
- GCSE English & Maths or equivalent
- Word Processing Qualification RSA I/II or equivalent
Desirable
- NVQ Level 2 Customer Service Skills or equivalent
Guidance
- Team Player
- IT literacy – use of MS Office Packages including Word, Email, Internet, Excel and Access
Desirable
- NHS experience
- Knowledge of databases and spreadsheets and able to input information accurately
- Ability to maintain office-based systems, e.g., filing, ordering and recording
