Job Summary
We are looking to appoint one Facilities Receptionist within our Facilities team at Birmingham Community Health Care NHS Foundation Trust. The vacancy will be based at Moseley Hall Hospital on a 6‑month fixed‑term contract. The role offers comprehensive training and support, and you will work closely with your line manager and the team leader.
Job Responsibilities- Provide a professional, effective, comprehensive reception service to all service users at Trust and non‑Trust sites.
- Receive all patients, clients and visitors to the centre/clinic in a courteous and welcoming manner and direct them to the appropriate room or department.
- Be aware of waiting times and inform departments and clinicians as appropriate.
- Answer queries from patients, clients, visitors, relatives and carers face‑to‑face and on the telephone, seeking advice from professional staff where required and maintaining a working knowledge of Trust services.
- Liaise with staff and security to ensure cars are parked in designated areas outside Main Reception, including operation of the barrier entry system.
- Monitor and operate CCTV cameras, alerting security to potential issues.
- Issue temporary control fobs and swipe cards for authorised personnel (e.g., doctors, bank and agency workers) and highlight any concerns to management.
- Book transport and collection of bloods and samples from Moseley Hall Hospital Reception to Queen Elizabeth Hospital.
- Keep a log of jobs for porters and assign jobs via handheld radio, ensuring radios are fully charged.
- Provide cover for the switchboard on an ad hoc basis.
- Ensure the reception area is maintained in a clean, tidy state and walkways are clear of obstructions, following the clear desk policy.
- Maintain day‑to‑day functioning of the photocopier and undertake photocopying and printing as required (e.g., printing of Reception rota).
- Print and display the room booking entries for meeting rooms daily.
- Maintain key cabinets, ensuring all keys are clearly labelled and signed in and out.
- Receive and sort internal and external post, redirecting mail as appropriate.
- Receive and log special and recorded delivery items, contacting relevant staff and departments to arrange collection.
- GCSE English & Maths or equivalent.
- Word Processing Qualification RSA I/II or equivalent.
- Team player.
- IT literacy – use of MS Office packages including Word, Email, Internet, Excel and Access.
- NVQ Level 2 Customer Service Skills or equivalent.
- NHS experience.
- Knowledge of databases and spreadsheets and ability to input information accurately.
- Ability to maintain office‑based systems (filing, ordering and recording).
