The Executive Assistant provides key support for the CEO of Simon Group Holdings. They will execute daily office operations by managing a range of administrative and clerical tasks. We are seeking a dynamic individual that can help own the CEO’s calendar, requests and personal projects. It provides a unique experience to work alongside our business leaders, various entities of the company and manage multiple projects.
The Executive Assistant requires someone who is highly motivated, customer-oriented and has the drive to help personify our company culture with an entrepreneurial can‑do attitude.
- Prioritize, triage, and manage high‑volume communications (email, calls, messages), ensuring timely follow‑up and professional correspondence on behalf of the CEO
- Serve as a trusted partner to the CEO, managing day‑to‑day priorities, anticipating needs, and ensuring seamless workflow across all executive activities
- Coordinate complex calendars, including strategic scheduling, meeting preparation, and alignment of requests across internal leaders and external customers
- Monitoring digital, paper, and voice communications, and prioritize, process, respond or delegate per CEO’s wishes, directives, and priorities; availability and promptness for responses are critical
- Manage and coordinate personal appointments, schedules, and family‑related commitments for the Simon family with discretion, professionalism, and impeccable attention to detail
- Coordinate and compile executive‑level materials to ensure they are complete and ready in advance of senior leadership meetings
- Plan, organize, and execute meetings and events, ensuring pre‑work to follow‑through are handled efficiently
- Maintain strict confidentiality and exercise sound judgment in handling sensitive business and personal information
- Manage and coordinate all aspects of the CEO’s travel, including flights, hotels, ground transportation, and dining reservations
- Detail‑oriented with the ability to innovate and improvise involving multiple challenges and problems
- Maintains absolute discretion and integrity in all matters involving confidential information, a critical expectation for supporting the CEO
Education and Experience
- Excellent Microsoft Office Suite skills and excellent written and verbal communication skills
- Ability to work under pressure to multitask and prioritize workload in a professional manner
- Ability to handle confidential materials with care
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- 6-8 years of prior applicable experience
- Familiarity with Apple products is a plus
Education and Experience
- Project management experience a plus, particularly working with executive‑level teams
- Bookkeeping experience is a plus
- This is a 5 day a week in office opportunity in Birmingham, MI
