About

This Role

The Project Administrative Assistant provides comprehensive administrative and clerical support to project managers and project teams to ensure efficient project execution. This role is responsible for coordinating documentation, maintaining records, tracking project activities, and supporting communication across internal and external stakeholders.

What You'll Do
  • Provide day-to-day administrative support to project managers and project teams
  • Prepare, format, and distribute project documentation, reports, and correspondence
  • Maintain organized project files, contracts, and records (digital and physical)
  • Assist with project scheduling, meeting coordination, and calendar management
  • Record meeting minutes and track action items
  • Monitor project timelines and follow up on deliverables
  • Support procurement processes, purchase orders, and invoice tracking
  • Assist with budget tracking and expense reporting
  • Coordinate onboarding documentation for new project team members
  • Maintain compliance documentation and ensure proper recordkeeping
  • Serve as a point of contact for vendors, clients, and internal departments
  • Support data entry and reporting in project management systems
What You'll Bring
  • High school diploma or equivalent required;
    Associate’s or Bachelor’s degree preferred
  • 4-6 years of administrative or project support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with project management software is a plus
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to prioritize tasks and meet deadlines
  • Professional demeanor and customer service skills
  • Knowledge of basic project management principles
  • Experience supporting construction, engineering, or technical projects
  • Familiarity with budgeting and procurement processes
