Position Overview
We are seeking two part‑time Project Support Admins to provide onsite administrative and materials‑handling support to a project management organization. These roles focus on receiving, sorting, documenting, and submitting physical materials following established procedures, while also assisting with general administrative and project support tasks.
These positions are ideal for detail‑oriented individuals who thrive in structured, process‑driven environments and enjoy supporting operational teams with essential documentation activities.
Key Responsibilities Document & Materials Processing- Receive, sort, categorize, and track physical materials and documents.
- Log and maintain accurate records according to established governance procedures.
- Submit or route materials to the appropriate internal teams.
- Ensure all documentation is handled securely, accurately, and in a timely manner.
- Assist with data entry, basic invoice or documentation processing, and updating internal spreadsheets.
- Maintain team rosters, distribution lists, and simple tracking logs.
- Support scheduling, meeting coordination, and preparation of basic materials.
- Handle routine office tasks including filing, mail sorting, supply checks, and maintaining organized work areas.
- Assist with training records, onboarding materials, or compliance‑related documentation as needed.
- Work closely with project managers and support staff to ensure smooth workflows.
- Communicate clearly regarding status updates, outstanding documentation, or procedural issues.
- Maintain confidentiality and professionalism when handling sensitive or proprietary information.
- High school diploma or equivalent.
- 1–3+ years of administrative, clerical, or office support experience.
- Proficiency with Microsoft Office (Outlook, Excel, Word).
- Strong attention to detail and accuracy in handling documentation.
- Ability to work independently within fixed onsite shift hours.
- Comfortable with physical tasks such as handling paper files and small boxes.
- Experience supporting project management, operations, engineering, or technical teams.
- Familiarity with document control, materials logging, or workflow processes.
- Excellent organization and time‑management skills.
- Clear and professional communication skills.
- Ability to multitask and prioritize in a structured environment.
- Reliability, strong attendance, and consistent follow‑through.
- Adaptability and willingness to learn internal processes quickly.
