Executive Assistant (On-Site | Birmingham, AL)
We are seeking a full-time, experienced Executive Assistant to support the head of a respected legal practice serving a high-net-worth clientele. This is a long-term, on-site role for a polished, emotionally intelligent professional who is comfortable taking ownership, managing sensitive matters, and operating calmly in a fast-paced, high-expectation environment where discretion and reliability are essential.
Key Responsibilities- Manage all client-facing scheduling, including new consultations and ongoing appointments
- Maintain the attorney’s complete legal calendar, including court dates, mediations, preparation time, and deadlines
- Provide daily operational support to ensure smooth in-office flow and consistent follow-through
- Triage emails and communications, identifying urgent, time-sensitive, and priority matters
- Create and manage callback lists and ensure timely follow-ups
- Coordinate firm and internal events as needed
- Handle in-office logistics, vendors, and ad-hoc operational tasks
- Support the attorney with time management, prioritization, and daily execution
- Demonstrated experience supporting senior leadership in a professional, high-trust environment
- High emotional intelligence, maturity, and a steady, professional communication style
- Strong sense of responsibility, discretion, and confidentiality
- Excellent organizational skills with consistent attention to detail and follow-through
- Comfortable interacting with high-net-worth clients in person and by phone
- Ability to remain calm, focused, and effective under pressure
- Eligibility to successfully complete background screening appropriate for a legal services environment
- Full-time, long-term on-site position
- Salary range: $50,000–$55,000 annually, based on experience
