Description
The Administrative Assistant to the Chair is a full-time position providing support to the chair and faculty in the Department of Pharmaceutical, Social and Administrative Sciences.
Job Duties
- Provides administrative assistance to the department chair with recording, typing and distributing minutes for department meetings, provides monthly budgetary reports of departmental supplies, travel and other expenses and other assigned duties.
- Receives students and other office guests in a friendly manner and directs them appropriately according to their needs or requests. Receives phone calls in a friendly and manner.
- Assures compliance to university accounting, personnel and data systems policies and procedures. Maintains confidential department, personnel and student files for the department chair.
- Maintains a departmental calendar for faculty/staff vacation and administrative leave.
- Coordinates catering and set-up of meetings and events. Serves as departmental contact person for reserving rooms for meetings and other non-curricular activities.
- Assist in the planning of the London elective course.
- Assist faculty in ordering lab and instructional supplies, processing reimbursement requests for departmental expenses related to professional activities, including registration, travel, lodging and meals and preparation of teaching materials and other documents for duplication as needed. Sorts, distributes and sends mail and packages as needed.
- Provides assistance to other departmental and school staff, and assumes needed responsibilities during absences as assigned by the department chair.
- Engages in staff development activities and programs as directed by the department chair as part of an ongoing process of staff professional development.
- Participate in examination proctoring.
- Either, a high school diploma or equivalent and minimum three (3) years of experience or a Bachelor's degree and one (1) year of experience.
- Proficiency in using Microsoft Outlook, Word, Excel, and PowerPoint.
- Familiarity with contemporary methods for electronic filing.
- Excellent written and verbal communications skills.
- Self-starter, excellent time management and organization skills, and attention to detail.
- Exhibits professionalism through all interactions.
- Maintains confidentiality of student, staff and faculty information.
- Exhibit flexibility and diplomacy in working with a wide range of people.
- Working knowledge of file documents retrieval and backup; use of Internet as a resource.
- Proficiency in MS Word, Excel and Outlook, Banner, and Argos.
- Willingness to learn additional software programs through training as needed.
- Ability to report to work daily, five days per week from 8:00 a.m. to 4:30 p.m.
- Ability to remain in a stationary position for significant periods of time, working continuously throughout the day.
