Senior Staff Assistant (SL-3)

Salary: $60,000

The Student Success CRM and Communications Lead supports the university's student retention and completion goals by designing, implementing, and evaluating data-informed student success campaigns and advising technologies. This position supports cross-campus efforts to enhance proactive outreach, strengthen communication strategies, and ensure consistent student engagement across academic units. The manager also serves as the institutional administrator for Ellucian Advise, overseeing its daily operations, user management, data integrity, and integration with other student systems.

This role bridges technology and advising practice, helping advisors and staff use data strategically to support students' holistic success.

Key Responsibilities
  • Student Success Campaigns
    • Develop, implement, and assess data-informed email and text campaigns focused on academic success, belonging, well-being, and basic needs.
    • Design outreach strategies based on student life cycle touchpoints (e.g., pre-registration, midterm, finals).
    • Coordinate with advising and other campus partners (Financial Aid, Career Center, First-Gen programs) to align messaging and timing.
    • Use analytics and student engagement data to assess campaign effectiveness and recommend improvements.
    • Apply strengths-based and validating communication frameworks in all campaigns to promote help-seeking behavior.
    • Explore and pilot AI-enhanced tools for message generation, workshop design, and communication personalization.
  • Ellucian Advise Administration and CRM Management
    • Serve as the primary administrator for Ellucian Advise (or similar student success platform).
    • Manage system configuration, campaign scheduling, user permissions, and advisor access.
    • Coordinate system updates, troubleshoot technical issues, and ensure CRM alignment with institutional goals.
    • Create and maintain dashboards, alerts, and reports to track advising interactions, academic risk indicators, and student engagement metrics.
    • Partner with IT and Registrar to improve data integration between Ellucian Advise, Banner, and Degree Works.
    • Train advisors and staff on Ellucian Advise features and data-informed best practices.
  • Assessment and Continuous Improvement
    • Collect and analyze campaign data, persistence rates, and student feedback to measure impact.
    • Provide regular reports and presentations to campus leadership on student success trends.
    • Recommend new communication campaigns based on institutional priorities and retention data.
    • Support the university's strategic student success initiatives.
    • Lead pilot projects to test new engagement models or technologies.
  • Collaboration and Professional Development
    • Serve as a liaison between Advising, Student Affairs, and Enrollment Management.
    • Partner with academic units to identify at-risk populations and develop targeted support strategies.
    • Stay current on innovations in academic advising technology, predictive analytics, and student success models.
