Position: Front Desk Manager - The White House Hotel

Description Position Summary

The Front Desk Manager is responsible for overseeing all front desk operations to ensure an exceptional guest experience. This role includes managing the front desk team, supervising guest check-ins and check-outs, resolving guest complaints, managing reservations, and ensuring the front desk area is running smoothly and efficiently. The Front Desk Manager works closely with other departments to ensure guest satisfaction and operational success.

Key Responsibilities
  • Team Leadership and Supervision:
    • Manage and lead the front desk team, ensuring staff provides excellent customer service and adheres to policies.
    • Hire, train, and evaluate staff.
    • Create schedules and optimize labor costs.
    • Provide coaching, feedback, and performance evaluations.
    • Handle employee issues and disciplinary matters.
  • Guest Check-in and Check-out:
    • Oversee the check-in and check-out process.
    • Assist VIP guests and special requests.
    • Ensure accurate billing and payments.
    • Monitor feedback and resolve complaints promptly.
  • Reservation and Room Management:
    • Oversee reservation process and room availability.
    • Work with sales and marketing to implement revenue strategies.
    • Ensure accurate room assignments and communicate with housekeeping and maintenance.
    • Resolve overbooking and room issues.
  • Guest Services and Communication:
    • Provide a warm, welcoming experience from arrival to check-out.
    • Handle inquiries, requests, and concerns efficiently.
    • Act as main point of contact for guests.
    • Maintain open communication with management and departments.
  • Operational Efficiency and Front Desk Operations:
    • Oversee day-to-day operations and workflow.
    • Ensure lobby is clean and presentable.
    • Monitor PMS data entry and billing details.
    • Maintain up-to-date knowledge of policies and procedures.
  • Collaboration with Other Departments:
    • Collaborate with housekeeping, maintenance, food and beverage, and other departments.
    • Communicate guest preferences and issues.
    • Coordinate special events, group bookings, and large parties.
  • Budget and Financial Management:
    • Assist with budget planning and cost control.
    • Track daily occupancy, revenue, and satisfaction metrics.
    • Process accurate financial transactions.
    • Manage front desk inventory and supplies.
  • Health, Safety, and Compliance:
    • Ensure compliance with safety, security, and health regulations.
    • Enforce guest privacy and data protection policies.
    • Maintain knowledge of local laws and industry standards.
  • Additional Duties:
    • Participate in management meetings.
    • Assist with administrative tasks.
    • Keep the team informed of promotions and events.
    • Work on projects to improve guest satisfaction and efficiency.
  • Requirements Qualifications Education
    • High school diploma or equivalent (required).
    • Associate’s or Bachelor’s degree in Hospitality, Business, or a related field (preferred).
    Experience
    • 3+ years in hotel front desk or guest services, 1-2 years in supervisory role.
    • Proven experience handling complaints, reservations, and operational management.
    • Familiarity with PMS, POS systems, and Microsoft Office.
    Skills
    • Strong leadership and management skills.
    • Excellent communication and customer service skills.
    • Strong organizational and multitasking abilities.
    • Ability to resolve conflicts and handle complaints professionally.
    • Knowledge of hospitality industry standards and best practices.
    • Ability to work in a fast‑paced, high‑pressure environment.
    • Financial acumen and experience with budgeting and forecasting.
    Physical Requirements
    • Stand for extended periods and work in a busy environment.
    • Lift and carry small items up to 25 pounds.
    • Work flexible hours, including evenings, weekends, and holidays.
    Work Environment
    • Shifts may include evenings, weekends, and holidays.
    • Frequent guest interaction in a high‑energy environment requiring excellent communication and problem‑solving skills.
