Responsibilities- Facilitate the selection and enrollment of qualified student applicants, assisting the School Director with day‑to‑day administration of basic office and school operations.
- Ensure compliance with applicable federal and state laws, accreditor standards, and institutional policies related to student enrollment.
- Respond to inbound inquiries and conduct outbound phone calls and emails to prospective students, scheduling appointments per company guidelines.
- Assess and interview prospective students to determine their needs, goals, and eligibility for employment under Federal Motor Carrier regulations; review driving records and DOT physical and drug screening results.
- Develop referrals and personal leads; conduct tours of campus facilities and communicate program features to help prospects make informed enrollment decisions.
- Discuss payment options, including third‑party financing, in‑house financing, workforce service/state agency funding, federal and state grants, vocational rehabilitation, Veterans Administration benefits, and private pay.
- Follow up on all inquiries that fail to schedule or show for an interview.
- Enroll students who meet eligibility requirements, complete all required enrollment and orientation forms, and confirm that admission paperwork and prerequisites are completed.
- Prepare and compile all student files for the first day of class; provide employer and placement information in the Student Management System; update transcripts and prepare graduation certificates.
- Accounts Receivables/Payables: prepare invoices to students, agencies, and trainees; process receipt of checks, cash and credit‑card charges; manage and report accounts payable invoices; assist the Director with monthly account reconciliation.
- High School Diploma or GED required.
- Prior post‑secondary education experience preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Working knowledge of office equipment.
- Excellent communication and interpersonal skills, including problem solving and conflict resolution.
