Description

The Administrative Coordinator provides high-level administrative and organizational support to the College of Arts and Sciences (CAS) Dean’s Office and schools in the College, as needed. This position handles a wide variety of administrative functions, including confidential and sensitive matters. The position requires an individual who is detail-oriented, can communicate effectively, and maintains positive relationships with stakeholders, including faculty, professional staff, students, parents, and administrators.

Reporting to the Senior Assistant to the Dean, the Administrative Coordinator supports the mission of CAS by performing specialized office support work and balancing complex priorities to meet the needs of students, employees, and the university. This position requires the application of technical skills while exercising good judgment, discretion, and professionalism.

The expected pay is $20.82 per hour (annualized to $43,306). Total compensation is $58,873 to $74,001, depending on which medical and dental plans are selected.

Responsibilities
  • Provides direct administrative support to the associate deans in the CAS Dean’s Office, including:
    • Calendar management
    • Coordinating travel
    • Special projects
  • Manages casdean email inbox, including:
    • Routing emails and responding to inquiries as appropriate
    • Logging incoming and outgoing paperwork
    • Reviewing incoming paperwork for completeness and accuracy before forwarding, returning to sender as appropriate
    • Sending emails to the college distribution lists as requested
  • Serves as purchase card manager for individuals in the CAS Dean’s Office, reconciling purchases and ensuring accurate documentation and accounting.
  • Welcomes and directs visitors, serving as the primary liaison for students, faculty, staff, parents, or other constituencies.
  • Answers and transfers phone calls, screening when necessary. Handles complex and confidential situations and requests addressing school, faculty, student, college, and university needs.
  • Cross‑trains to support other CAS administrative staff with job duties during temporary periods of increased workload or when staff are on leave.
  • Provides support for faculty and professional staff onboarding and offboarding, including office logistics and resource coordination.

  • Assists with event planning and execution, including:
    • Room reservations
    • Catering
    • Facilities work orders
    • ITS tickets
    • Preparing lunch vouchers
  • Independently coordinates multiple administrative tasks and projects.
  • Troubleshoots problems and all inquiries and requests related to unit including explaining policies and procedures, coordinating services and assistance, and directing concerns to senior staff members as appropriate.
