Summary of Position
The Marketing Coordinator will support the Marketing team with all administrative related tasks and play a key role in supporting the marketing team’s efforts to enhance brand visibility and create meaningful guest experiences. This position will contribute to the execution of marketing initiatives, including social media content development, partnership marketing, event activations, and brand campaigns. The coordinator will assist with the planning and organization of events, support communication with vendors, partners, and internal teams, and help ensure that all marketing touchpoints reflect the brand's identity.
This role requires a detail-oriented individual who is passionate about storytelling, brand presence, and delivering impactful moments across digital and in-person platforms.
- Communicate effectively with guests, partners and colleagues with a friendly, courteous and professional demeanor.
- Respond to the needs of partners and guests in a timely manner.
- Organize the database of UGC and content libraries for repurposing across channels.
- Monitor trends on Tik Tok, Instagram Reels, and other emerging platforms, and present ideas for branded content.
- Handle community management on social platforms (Instagram, Facebook, Tik Tok, You Tube, Pintrest) in responding to DM's, reposting stories, commenting on other brands, commenting on influencer's accounts etc
- Assist with taking content for Event activations (i.e. Easter, Mother’s Day, pop ups, launch events etc)
- Craft up detailed resumes for photoshoots and content missions, as well as Event activations
- Oversee smaller scale photoshoots and handle logistics
- Own smaller event activations i.e. National Days
- Gather props, event décor and arrange spaces for activations in collaborations with the Catering Team
- Ensure resumes and all internal communications are completed accurately, on time and distributed to all necessary colleagues
- Assist with small graphic design projects such as menus and invitations
- Assist with research for partner collabs, brands
- Answer the phone in a pleasant manner and can answer questions as it relates to the hotel (hours of operations, amenities, outlets, etc.)
- Organize Media stays (reservations, amenities, gifts, welcome cards, Spa appointments, special requests) and entertainments and obtain approvals
- Assist with the organizing Press Trips (reservations, appointments, activities, gifts)
- Schedule meetings with partners or internal departments for the DOSM and Marketing team
- Attend internal Marketing (i.e. F&B, Spa, Festive) meetings with other departments, type up notes and distribute for follow up
- Keep up open line of communication and good working relationships with operational departments to ensure all activations are supported
- Share all press clippings with MBH team and Corporate Office
- Generating reports, preparing proposals, collecting details through research and coordination with clients
- Writing Group Resumes (i.e. for Press Trips)
- Work with Sales Coordinator to ensure our inventory of office supplies and site amenities are maintained. Alert management when we inventory is low.
- Ensure all invoices are tracked and put in Birchstreet for approvals
- Research city-wide events, festivals, shows, and sporting events
- Compile and contribute reporting as directed
- Able to multi-task and manage a varied work-load
- Proactive and with initiative, highly organized and efficient.
- Proficiency in Excel, Word, PowerPoint, Adobe programs like Acrobat, Indesign, Illustrator;
Canva, Opera and Salesforce is preferred. - Develop and maintain positive working relationships with others, and support team to reach common goals.
- Performs other related duties as assigned by the Marketing team.
- High school diploma is required and a bachelor’s degree or associate’s degree in hospitality or culinary arts is preferred.
- Prior experience as a coordinator, or other relevant position/experience in the hospitality, PR, Marketing or Media field.
- Related experience in a luxury establishment is a plus.
