Overview
Location: West Los Angeles, CA
Schedule: Hybrid- 4 days a week onsite
Assignment Length: 3-6 Months (Potential Conversion)
Pay Rate: $25-$27/hr
Our team is partnering with a well-established Entertainment organization to identify a highly organized and intuitive Departmental Assistant - Talent Acquisition to support a fast-paced recruiting and Executive Assistant. This role will provide administrative and operational support to three senior leaders within Talent Acquisition
, including Early Careers, Recruiting, and Recruiting Operations.
This is an excellent opportunity for someone early in their career who comes from a recruiting or TA operations background
, thrives in heavy scheduling environments, and takes initiative without needing repeated direction.
- Support three senior-level Talent Acquisition executives across multiple time zones
- Manage high-volume scheduling, complex calendar coordination, interviews, and meetings using Microsoft Outlook
- Serve as a dependable point of contact for internal partners, candidates, and external stakeholders
- Maintain project trackers, recruiting grids, and workflow documentation to support recruiting operations
- Assist with tracking recruiting metrics such as time-to-fill, pipeline activity, and source effectiveness
- Prepare reports and support data accuracy for recruiting leadership
- Support onboarding logistics, background checks, and hiring workflows across the recruiting function
- Help document, improve, and scale recruiting processes and assist with new tool implementation
- Identify and implement process improvements to increase efficiency and organization
- Provide support on key initiatives, project-based work, and ad hoc requests as needed
- 2+ years of experience as an Administrative Assistant, EA, Recruiting Coordinator, or similar recruiting support role
- Heavy scheduling and calendar management experience (Microsoft Outlook strongly preferred)
- Strong ATS/HRIS experience, including job postings, background checks, onboarding, and temp-to-hire conversions
- Experience working in recruiting operations, HR operations, or talent acquisition environments
- Excellent communication skills with strong follow-through and attention to detail
- Highly intuitive, proactive, and process-oriented with the ability to anticipate needs
- Ability to multitask, prioritize, and manage heavy workflow in a fast-paced, high-volume environment
- Strong customer service mindset
- Comfortable interfacing with senior leaders and cross-functional teams
