The Department of Neurosurgery is seeking a Medical Office Coordinator/MA. This person will coordinate day-to-day activities of a multi-faceted medical/research and academic practice to ensure a smoothly functioning office and exemplary patient relations.

Specific Duties & Responsibilities
  • Collect patient information and assessment data; obtain and record vital signs and other metrics, and report findings to practitioners.
  • Confirm written orders prior to implementing delegated tasks.
  • Maintain aseptic techniques and infection control during clinical duties.
  • Assist practitioners in identified patient procedures and examinations, including preparation, positioning, and supplies.
  • Obtain and manage specimens, including labeling, documentation, transport, and quality control.
  • Recognize emergency situations, implement clinic emergency procedures, administer first aid including CPR, and maintain emergency equipment.
  • Provide patient education and health information materials.
  • Schedule patients for appointments, examinations, procedures, and consultations.
  • Coordinate scheduling for international and domestic patients, including multiple visits.
  • Create systems to maximize service efficiency, including proactive rescheduling and coverage planning.
  • Utilize service excellence techniques such as scripting and service recovery to exceed patient expectations.
  • Verify and enter pre‑registration and insurance information, prepare daily schedules, and resolve third‑party issues.
  • Demonstrate sensitivity and accommodation to diversity in patient care.
  • Print and mail directions, fee schedules, test results, and other clinic information to patients.
  • Coordinate with clinic staff to ensure accuracy and organization of clinic visits.
  • Relate information to patients regarding laboratory and examination preparation.
  • Obtain and/or verify patient demographic data by phone or in person.
  • Confirm appointments via telephone and/or mail, and fill cancellations.
  • Ensure all patient correspondence is transmitted promptly.
  • Assist patients or family members with insurance form completion.
  • Inform patients of care costs and guide them to additional resources.
  • Send correspondence to referring physicians for cancellations and thank‑you letters for referrals.
  • Answer phones and provide routine information; maintain clinic email group and distribute correspondence.
  • Undergo cross‑training for Surgical Coordinator duties and assist as needed during emergencies.
  • Perform other duties assigned by the Manager.
Medical Assistant

Duties & Responsibilities
  • The individual displays responsible behaviors and communicates effectively.
  • The MA functions under direct physician supervision during patient care.
  • The MA reports to the clinic manager for administrative supervision and orientation.
  • The MA demonstrates competency in all patient‑care skills.
  • The MA maintains supplies inventory, assists in patient flow organization, and ensures clinic safety.
Minimum Qualifications
  • High School Diploma or equivalent.
  • Two years of administrative experience.
  • Certification/Registration as a Medical Assistant (e.g., CMA, AAMA, RMA, AMT, NAHP); if not certified, must obtain within 180 days of hire.
  • Current CPR certification by the American Heart Association or American Red Cross.
  • Maintain MA and CPR certifications throughout employment.
  • Additional education may substitute for required experience, and related experience may substitute for additional education as allowed by the JHU equivalency formula.
Preferred Qualifications
  • Medical terminology knowledge.
