Aligned Orthopedic Partners is recruiting for an experienced Physical Therapy Technician/Patient Service Coordinator.

What

You Will Do
  • Keep the clinic neat and maintain an organized environment by placing things in their designated locations.
  • Wipe down clinic tables daily.
  • Assist with laundry and stocking cabinets as needed.
  • Support therapists with their patients as needed, including triaging patients to the clinic area, setting patients up on stimulators, ice, or heat, bringing therapists’ patient charts, copying and printing exercises, and other duties as assigned.
  • Help with front desk duties such as filing, checking in/out patients, confirming appointments, and related tasks as needed.
  • Maintain and order inventory of medical supplies for therapists and order bathroom and kitchen supplies.
  • Perform other tasks and projects as assigned by the manager.
  • Maintain knowledge of practice management and other computer software related to job functions.
  • Maintain patient confidentiality; comply with HIPAA and practice compliance guidelines.
  • Report any problems to management.
  • Stay within sight and hearing range of therapists; anticipate patient schedule and assist accordingly.
  • Stock all areas before breaks, lunch, or leaving for the day.
  • Communicate schedule changes (time off, early or late arrival) with staff.
  • Assist with duties as a Patient Services Coordinator, including but not limited to:
  • Receive and direct incoming telephone calls politely and document messages for therapists and personnel in a timely manner.
  • Check designated voicemail boxes regularly and ensure timely follow-up on all calls.
  • Appropriately schedule patient appointments; obtain complete and accurate medical, demographic, and insurance information; inform patients of Practice Financial Policy; direct calls to Therapy Billing as appropriate for insurance questions.
  • Explain insurance benefits to patients.
  • Manage cancellation list and fill open slots where possible.
  • Ensure patients sign in and present with required referrals.
  • Generate new patient flow sheets and paperwork; ensure new patients complete forms and sign consent and financial agreements prior to visiting the provider; ensure required forms are placed in the medical record.
  • Enter patient information accurately into the computer program; register new patients and update existing records with demographic or insurance changes.
  • Notify therapists or aides of patient readiness in a timely manner and seek assistance to maintain optimal patient flow.
  • Update printed schedule with add-ons or cancellations and notify billing of new patients.
  • Collect co-pays, deductibles, coinsurance, today’s visit charges, past-due charges, and DME payments; document payments in the computer system and control log; provide receipts and reconcile with the control sheet.
  • Forward all cash and checks to the Practice Administrator for deposit preparation.
  • Schedule follow-up appointments as necessary.
  • Support opening and closing tasks for the office (including tidying the waiting room).
  • Coordinate administrative supply orders and manage rescheduling when a therapist’s schedule changes.
  • Perform basic administrative tasks including scanning and faxing documentation.
  • Other duties as assigned.
Qualifications
  • High school graduate.
  • Excellent written and verbal communication skills.
  • Able to multi-task and remain calm in a stressful situation.
  • Able to use a multi-line telephone system and the billing computer program.
  • Demonstrates keyboard proficiency.
  • Demonstrates working knowledge of medical terminology.
