Overview

The Sky Group is seeking an experienced, detail-oriented Transaction Coordinator to manage all administrative and operational aspects of real estate transactions from ratified contract through closing. This role is essential to keeping transactions compliant, on track, and running smoothly for our agents, clients, and partners. The ideal candidate is proactive, highly organized, calm under pressure, and confident in managing multiple transactions simultaneously while delivering a polished, professional experience at every stage.

Responsibilities

Transaction Management
  • Oversee all aspects of the transaction from ratified contract to close
  • Review contracts to understand and summarize key terms, deadlines, and contingencies
  • Closely monitor and manage contingency periods and contractual time frames
  • Create transaction timelines and follow up to ensure deadlines are met, and contingencies are released
  • Obtain all necessary signatures on addenda and transaction-related documentation
  • Draft addenda as needed and maintain accurate records
  • Coordinate property access with cooperating agents and/or sellers when required
  • Consult on and coordinate inspections, repairs, and treatments with relevant parties
  • Track earnest money deposits and confirm receipt per contract terms
  • Coordinate the closing date, time, and location, and notify all parties
Communication & Client Experience
  • Serve as a primary point of contact throughout the transaction
  • Act as liaison between agents, clients, attorneys, lenders, title companies, inspectors, appraisers, and cooperating agents
  • Provide proactive weekly updates to buyers, sellers, agents, and other relevant parties
  • Communicate clearly and consistently regarding next steps, timelines, and expectations
  • Alert agents promptly if issues arise that require negotiation or escalation
  • Notify clients regarding utility setup/cancellation and key logistical details
  • Follow up post-closing to check in and request testimonials
Lender, Title & Third-Party Coordination
  • Send contracts to lenders and title companies and provide ongoing updates
  • Communicate regularly with lenders to ensure loan progress, TRID compliance, and on-time closing
  • Review settlement statements / CDs / ALTA statements for accuracy
  • Order and manage HOA and condo documents when applicable
  • Track receipt of HOA documents, distribute to buyers, and follow up on any cited issues
Compliance, MLS & File Management
  • Ensure accuracy of all documents for compliance and submit to the office accurately and on time
  • Maintain complete, compliant transaction files for all deals
  • Create and manage digital house files (Docu Sign and internal systems)
  • Submit all required documentation to the brokerage for file compliance
  • Input all necessary contract information into MLS and update as needed
  • Input and maintain all transaction details in CRM and transaction management systems
  • Draft commission statements and verify commissions, splits, and pr orations
  • Ensure all parties are paid accurately and on time
  • Updating MLS status to closed
  • Final file review and electronic storage
Additional Responsibilities
  • Assist with ad hoc projects related to transaction success and operational efficiency
  • Create and contribute to social media postings as they relate to current transactions
  • Support ongoing process improvements and team systems
  • Prepare and draft purchase offers on behalf of team members, as needed.
Qualifications
  • Valid Maryland real estate license required
  • Prior experience in real estate transaction coordination is required
  • Strong understanding of contracts, escrow, contingencies, and compliance
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage a high transaction volume with accuracy and professionalism
  • Proactive, service-oriented mindset with strong problem-solving skills
  • Comfortable working with MLS platforms, Docu Sign, CRM systems, and transaction software
  • Team-oriented, dependable, and deadline-driven
Compensation

$60,000 - $70,000 yearly
