Role
:
Schnabel is seeking an Office Manager to support our construction business by overseeing daily office operations. The Office Manager will oversee a wide range of general administrative duties, while also managing parts of accounts payable, accounts receivable, construction documentation, and contract administration. This individual will ensure that the office runs efficiently and smoothly, while also supporting field employees with their administrative needs.

This role can continue to expand in responsibility for the right individual.

Responsibilities
  • Maintain inventory of office supplies and manage office equipment.
  • Manage cell phone setup and distribution.
  • Manage employee credit card accounts, send reminders, and collect coding.
  • Track professional engineering license renewals for office engineers.
  • Scheduling internal and external logistics (Hotels, flights, meeting space, etc.).
  • Answer the phones and direct callers to the appropriate person/department.
  • Collect, code, submit, and file weekly and monthly vendor invoices and payments.
  • Prepare AIA subcontracts.
  • Assist Project Managers with purchase orders for materials and/or services.
  • Assist Project Managers and Field Supervisors with vendor account setups, including credit applications.
  • Procure tax exempt certificates from vendors as needed.
  • Manage incoming and outgoing mail, including sorting, distributing and preparing package materials for delivery.
  • Organizing and managing both digital and physical filing systems, ensuring data protection.
  • Assist Field Supervisors with onboarding process and corresponding I-9 verification.
  • Mentor new hires and work to build engagement based on culture and personal relationships.
  • Assist and administer other administrative duties, as necessary.
Requirements
  • Strong ability to manage multiple tasks and maintain an organized work environment.
  • Great verbal and written communication skills for interacting with staff, guests, vendors, and clients.
  • Exceptional people skills with a focus on building client and vendor relationships.
  • Minimum of 5 years of documented experience in an administrative role preferably within the construction, industry or related field.
  • Advanced knowledge of Microsoft Office (Word, Outlook, Excel, etc.).
  • Ability to lift and carry up to 50 pounds.
  • High school diploma or equivalent. Bachelor’s degree preferred.
  • Current Notary Public or ability to become one.
  • Driver’s license and reliable transportation.

Compensation and Benefits

Pay is between $50,000.00 - $75,000.00 depending on experience.
