Overview
The purpose of this classification is to perform work functions associated with coordinating, overseeing and managing accounts receivable and collection duties. The person in this position will be responsible for approving or declining and issuing lines of credit to customers; conducting credit investigations; and following proper credit approval procedures that limit losses while growing the store’s accounts receivable. This person would also ensure that customers with delinquent accounts are contacted and proper collection procedures are followed.

The responsibilities above are intended to coordinate and manage accounts receivable and collection activities to minimize losses and collect overdue accounts, while maintaining proper credit approval procedures and customer communications.
- Supervises, directs, and leads assigned staff, addressing employee concerns, directing work, disciplining, and providing guidance to attain efficient office and credit operations.
- Manages and oversees the activities and operations of the accounts receivable and collection areas.
- Reviews and evaluates applications; investigates and verifies financial status and reputation of prospective customers applying for credit; prepares documents to substantiate findings; recommends rejection or approval of credit applications; establishes credit limitations on customers’ accounts.
- Contacts customers by telephone and/or text to determine the reason for overdue payments; reviews terms of sales, service, or credit contract with the customer to gain payment; circulates form letters, texts, and/or late charge notices; travels to customers’ homes to collect late payments; assists with repossessions of merchandise as necessary; ensures payments are posted to customer accounts.
- Ensures all correspondence and attempted correspondence with customers concerning accounts is properly documented.
- Reviews and analyzes collection reports to ascertain status of collections and balances outstanding and to evaluate the effectiveness of current collection policies and procedures.
- Reviews delinquent account records to determine which customers must be contacted for collection of overdue accounts; organizes collection workload by degree and amount of delinquency; delegates accounts to assigned staff as appropriate.
- Prepares paperwork prior to legal action for severely late-paying customers; submits delinquent accounts to attorney or outside agency for collection with prior approval of the Store Manager.
- Maintains customer files in a fireproof cabinet and in alphabetical order; classifies files by status (Active, Paid Out, Charge-Off, Repo, Bankrupt); keeps cabinets in a non-public area.
- Keeps customer files in the office during credit approval and customer service capacities; ensures files are not handled or stored on the sales floor.
- Refers to and follows all other areas of Handling Customer Files and Personal Information Procedure.
- Ensures daily bookkeeping workload and filing of customer files by end of each business day; implements and uses the company’s Bookkeeping Checklist.
- Deposits all cash receipts to the store’s bank account in a night deposit bag on the day received; keeps the cash drawer fund in a bank night depository if possible; leaves cash drawers empty and open only when secured by a responsible employee; keys held by the employee assigned by the Store Manager.
- Follows all other areas of ARS 15; collects on returned checks and delinquent accounts.
- Maintains a work environment free of legally prohibited discriminatory practices and sexual harassment.
- Completes, prepares, reviews, and/or approves forms, logs, requests, records, reports, correspondence, and other documents; oversees maintenance of accurate files and administrative records.
- Operates necessary office equipment (calculator, copy machine, telephone, etc.) as part of daily duties.
