Responsibilities
  • Open the clinic by unlocking exam rooms, turning on computers, warming exam tables, printing schedules of daily appointments for clinicians, and preparing exam rooms.
  • Answer telephones, field questions, take clear and accurate messages and follow through to completion or refer to appropriate personnel to meet patient needs.
  • Retrieve patients from the waiting room, greet them by name, and explain that vitals will be taken to start the visit.
  • Take all vital signs and vitals rooms patient as per unit guidelines, including orthostatic vitals when required.
  • Document findings and report abnormal findings to RN or clinician.
  • Dispense specimen containers, instruct patients on specimen collection, and perform specific tests such as urine dipstick and pregnancy tests.
  • Assist clinicians with examinations and procedures (ultrasound, injections, biopsies, etc.) using sterile techniques as indicated.
  • Fit, apply, and instruct patients on the proper use of ace wraps, splints, slings, post‑op shoes, crutches, or canes.
  • Perform procedures according to department protocols (visual acuity, vaccines, TB skin tests, EKGs, suture removal, etc.).
  • Document in EHR after taking vitals, performing procedures, and completing nursing orders.
  • Review the after‑visit summary and ensure the patient receives appropriate information and resources before leaving the clinic.
  • Communicate via the EHR to update and follow‑up with referring clinicians, athletic trainers, and patients regarding discharge plan and follow‑up recommendations.
  • Collaborate with the referral coordinator to enter routine and urgent referrals and instruct the patient on the process.
  • Float to other units within University Health Services as needed or participate in on‑site immunization and vaccine fairs.
Clinical Reception
  • Greet patients, verify eligibility, and complete registration accurately.
  • Handle complex registration questions or patient complaints.
  • Support specialty/travel immunization clinics front desk and telephone calls.
  • Schedule or reschedule patient appointments using the computerized EHR.
  • Prioritize clinical operations and maintain supplies.
  • Escort patients as necessary and ensure discharge instructions and handouts are provided.
  • Assist RNs in travel/immunization clinic check‑in.
  • Review incoming faxes and distribute to appropriate personnel.
  • Enter service request tickets to IT for kiosk, desktop, or EHR issues.
  • Help input data for infectious disease reporting to local and state public health databases.
  • Assist with EAP and Health Clearance coordination by preparing necessary documents.
Clinic Maintenance and Supplies
  • Use office and clinical equipment safely and report problems.
  • Perform routine maintenance and arrange calibration or service of equipment as required.
  • Restock supplies in exam rooms and the clinic team room daily.
  • Inventory and restock office supplies and patient handouts for the front desk.
  • Maintain inventory of supplies and medications, order and restock as needed.
  • Clean exam rooms and remove medical waste containers as required.
  • Process contaminated instruments and prepare sterilization packs.
  • Report, document, and correct unsafe conditions or adverse incidents.
  • Participate in annual skills training, safety training, and committee meetings.
Complex or Advanced Support
  • Organize and prioritize workload for timely task completion with frequent interruptions.
  • Maintain knowledge of individual specialty clinicians’ areas and preferred procedures.
  • Assist with IT or EHR issues, and request urgent records from emergency rooms or community providers.
  • Help update and maintain unit protocols and manuals.
  • Assist with training entry‑level assistants/students and serve as a resource for MAI and trainees.
  • Serve as an active participant in a relevant UHS committee.
  • Help with daily MA schedule changes due to staffing needs.
