Responsible for maintaining current and accurate student registration in the state computer program and to have this information readily available to supervisors and district personnel. Enter student profiles, grades, master schedules and other student records. Work with various schools and institutions to secure student information for educational purposes.
Responsibilities- Enroll and withdraw students by entering biographical data into the database; secure residential, educational and health data, and compile a file for each new student.
- Maintain student files: prepare transcripts, keep files for foreign exchange students, shred dated documents, and enter, transfer or drop students to maintain daily enrollment.
- Secure student educational information from schools, institutions and shelters; collaborate with supervisors and registrars to obtain this data.
- Input student grades into the database and maintain the student and drop list weekly.
- Work with the master schedule to keep up with courses, sections, periods and teachers.
- Place students in homeroom, assign teacher schedules, and update the master schedule.
- Record absences, late arrivals and early check‑outs daily; run daily, quarterly and yearly attendance reports; file sick notes and excused absence reports.
- Collaborate with the juvenile court system to secure student information for probation officers.
- Enter discipline incidents into the computer database and send/receive records as requested.
- Greet each person who enters the office and provide assistance to parents, guardians, teachers and guests.
- Answer emails, telephone calls, take messages, provide information or locate the appropriate recipient; type and copy letters and forms for parent/student handouts or mail‑outs.
- Monitor district radio daily, especially during student transportation and inclement weather.
- Assist the PTA by providing lists for their various projects.
- Perform any other related duties as required or assigned.
- High school diploma plus specialized schooling and/or on‑the‑job education in a specific skill area (e.g., data processing, clerical/administrative, equipment operation).
- 12 to 18 months of related experience, and/or training or an equivalent combination of education and experience.
- Ability to work independently and in a team, manage time efficiently, and communicate effectively with diverse stakeholders.
Public Contact: Regular contacts with patrons within the office or in the field; may involve occasional self‑initiated contacts.
Employee Contact: Contacts with other departments or offices, and frequently with individuals in middle‑level positions; consult on problems requiring judgment and tact to obtain cooperation or approval of action.
