About the Position

The Fellows, Internships, and Wellness Initiatives Coordinator plays a key role in supporting three core program areas across Art Bridges: the national Fellows Program, the Art Bridges Internship Program, and the Foundation’s growing wellness initiatives. Fellows work in partner museums nationwide for three-year terms and participate in annual gatherings in Northwest Arkansas, while interns join Art Bridges through academic-year or summer programs.

Wellness initiatives include a bi-annual convening and collaboration with partner museums on wellness-centered projects. The Coordinator works closely with fellows, interns, partner museums, and colleagues across multiple departments, requiring strong relationship management and cross-team communication skills.

This role ensures smooth program operations by coordinating logistics, maintaining accurate records and databases, tracking program activities, and supporting communication with internal teams, external partners, fellows, and interns. Working closely with the Director of Fellows, Internships, and Wellness Initiatives, the Coordinator manages a variety of administrative, programmatic, and event-related tasks that strengthen the impact and efficiency of all three programs.

Success in this role requires strong organization, exceptional attention to detail, and a proactive, service-oriented approach. The Coordinator must thrive in a collaborative environment, balance multiple priorities, and demonstrate a genuine interest in supporting fellows, interns, and wellness initiatives at Art Bridges.

Responsibilities
  • Provide administrative and operational support to the Fellows, Internships, and Wellness Initiatives team, including maintaining calendars, scheduling meetings, preparing agendas, taking notes, processing invoices, and communicating with internal and external stakeholders.
  • Coordinate events, workshops, travel, lodging, and logistical needs for the team, fellows, interns, and partner museums, ensuring all logistical elements are accurately managed.
  • Develop and maintain project timelines, task assignments, and progress tracking to ensure timely completion of all program deliverables.
  • Maintain and update databases and records, including Asana tasks and project management systems, for programs and initiatives.
  • Facilitate communication between fellows, mentors, interns, and partner museums, vendors, and internal departments, providing information and support as needed.
  • Register for career fairs, participate in recruitment events, and support marketing and communication activities related to internships.
  • Support program evaluation activities and continuous improvement processes.
  • Collaborate with colleagues from across departments at Art Bridges to plan meetings, workshops, and events.
  • Assist with delivering workshops, programs, and events for fellows, interns, and wellness initiatives.
  • Perform other duties as assigned.
