To service the Council’s Committees and other bodies, arranging and attending Member and Officer‑level meetings, compiling reports, agendas, minutes and decision notices, despatching committee papers on time, and drafting minutes. To advise Committee Chairmen, Members, officers and the public on the Council’s Constitution and governance, including procedural matters and the declaration of interests. To facilitate executive decision‑making by Cabinet Members and the Cabinet, deputise for the Democratic Services Manager in council leadership queries, and advise on civic protocol and ceremonial matters.
Key Responsibilities- Arrange and attend Member and Officer‑level meetings, compiling reports and agendas, minutes, decision notices and despatching committee papers.
- Ensure decisions taken in Committee are implemented appropriately.
- Provide advice and support to Members and Officers on the Constitution, procedural matters, and declaration of interests.
- Maintain, update and index the computerised records for Democratic Services, including publication on the Committee Management Information System and the MyCMIS app.
- Assist in the development and delivery of the annual Member induction and competency training programme.
- Plan, organise and attend Mayoral/civic events and engagements, including occasional evenings and weekends.
- Advise on civic and ceremonial matters to Members, officers and the public.
- Coordinate the Mayor’s and Deputy Mayor’s calendar, providing secretarial and technical support, updating and maintaining the Mayoral Guide and protocol.
- Coordinate arrangements for Operation London Bridge in liaison with the Democratic Services Manager.
- Educated to A‑Level standard or equivalent experience.
- Highly effective written and verbal communication skills, including listening.
- Strong interpersonal skills to gain agreement and acceptance of colleagues, senior managers and Members.
- Up‑to‑date knowledge of IT systems used by the Council, including Microsoft Office.
- Ability to work under pressure in a rapidly changing environment, making decisions and solving problems to meet operational targets.
- Resilience and ability to handle potentially difficult customers.
- Experience of administering meetings, producing minutes, and writing reports, speeches and press releases.
- Previous experience in administrative roles.
